Position Title: Deerfield High School Honor Society Sponsor

Reports To: Activities Director

Position Summary: This position is responsible for all aspects of the DHS Honor Society process (which in almost all ways runs from late November with the election of senior officers through the middle of April with the induction ceremony).

Qualifications: The DHS Honor Society sponsor should be a teacher who values and acts with moral integrity, is detail-oriented, highly communicative, and comfortable with potentially difficult conversations with students regarding choices they may have made that prevent them from applying.

General Expectations (for clubs or activities)

Attendance and Supervision Take accurate attendance whenever your club or activity meets (i.e. practices, meetings, and competitions). Submit attendance records as required by the district.

Communicate and implement the school and district activities attendance rules and regulations.

Ensure all participants are properly supervised at all times, maintaining a safe and organized environment.

Eligibility Requirements Communicate academic, attendance, and behavioral eligibility standards throughout the season/year.

Monitor eligibility data, enforce eligibility consequences, and provide support to students who do not meet eligibility standards.

Program Communication and Documentation Distribute and review program rules, expectations, and schedules with students at the start of each year.

Maintain clear, timely communication with students, families, and administration.

Manage all official activity program-related social media accounts in accordance with district and school policies.

Policy 5-125 Personal Technology and Social Media: Usage and Conduct (5-125 AP1 Accepted Platforms, Compliance with the First Amendment, the Local Records Act, Transitions in Account Management; 5-125-AP2 Approved Electronic Communications Methods)

Budget, Equipment & Inventory Management Manage and monitor the club or activity budget, including forecasting expenses, tracking purchases, managing donations, maintaining accurate financial records and ensuring all spending aligns with the school and district policies and club or activity needs.

Monitor and manage fundraising efforts for the club or activity by securing approval through the Activities Department, coordinating campaigns, tracking progress, and ensuring compliance with school and district regulations.

Maintain an up-to-date inventory of all equipment and uniforms/apparel, if applicable.

Purchase equipment and uniforms/apparel, as necessary, in collaboration with the Activities Department.

Ensure proper distribution, care, and collection of equipment before and after each season/year.

Report damaged or missing equipment promptly to the Activities Director.

Ensure all equipment is stored securely and in accordance with district guidelines.

Ensure any equipment stored in "common storage areas" are neatly returned to designated areas within the space.

Common storage areas are to be kept neat.

Extracurricular Conduct Model and promote positive behavior, integrity, and respect for all participants, advisors, opponents, and audience members in club and activity settings.

Uphold and enforce all club, activity, school, and district codes of conduct:

Address any inappropriate or disrespectful behavior promptly and fairly to maintain a positive and inclusive environment.

Injury Management, Emergency Action Plans, and Accommodations Work in collaboration with the school nurses, athletic trainers, and athletic department to understand and implement athletes' emergency action plan and complete related trainings (including but not limited to seizures, asthma, allergies and diabetes).

Engage in all required injury prevention and response training per the IHSA and school/district requirements (including but not limited to CPR, AED and concussion), if applicable.

Work in collaboration with the school nurses and athletic trainers to report and address student injuries.

Implement student accommodations (per an IEP or 504 plan), as applicable.

Leadership, Growth and Relationships Develop student leaders by providing guidance, leadership training, and opportunities for responsibility to enhance their skills and confidence.

Engage in professional development aligned with your club or activity to support the growth of students and the program.

Cultivate and strengthen meaningful, positive connections through every interaction within the school community and the wider community.

Essential Duties and Responsibilities (for this specific clubs or activities and role)

Runs all components of the Honor Society process, including but not limited to:

Works with DHS Student Activities Director to determine relevant dates (mid-March application deadline, mid-April date and time for induction ceremony)

Assembles a student board of seniors who serve as officers, communicate with the Student Activities Director, Principal, Tech Theatre Director, and PTO regarding their contributions to the induction ceremony, and help facilitate the induction ceremony.

Maintains the DHS Honor Society site on the DHS home page.

Updates each year's application form.

Facilitates the selection of the faculty keynote speaker for the induction ceremony.

Requests (from District 113 registrar) a list of all eligible juniors after first semester grades have been submitted.

Works with the Deans Office to identify students with infractions on their DHS record that would exempt them from applying to the Honor Society.

Invites all eligible students to apply for membership (via email).

Reads applications (and faculty confirmations of character) to determine new members.

Sends a congratulatory message (again, via email) to all new members, including information about and expectations for the April induction ceremony.

Runs the induction ceremony, including setting the sequence, creating the program, and serving as the "MC" of the ceremony.

Submits to the Principals Administrative Assistant a complete and accurate list of the previous year's members (current seniors) for the graduation program.

Work Schedule The work schedule is determined by the various stages of the application process (see above).

Evaluation Performance will be evaluated annually by the [Activities Director/Principal] in accordance with district policies.
