The Data & Systems Coordinator is responsible for computer-based testing, anatomy practical administration, and mapping exam questions to outcomes/competencies. This position develops reporting structures in feedback models for both students and faculty. The Data & Systems Coordinator assists the Foundations & Graduate Programs Manager with all aspects of data management and is involved in all levels of assessment and evaluation.

DUTIES AND RESPONSIBILITIES:

Assessment and evaluation (for assigned courses)

  • Builds, administers, and proctors examinations following pre-determined, detailed guidelines.
  • Serves as lead proctor for scheduling, administering and reporting on internal examinations.
  • Collaborates with the IT department to ensure backup technology and support staff are available for examinations.
  • Creates, schedules, proctors, and tracks remediation exams.
  • Manages departmental database for tracking and administering of examination accommodations.
  • Communicates with course/clerkship coordinators/directors for exam planning purposes.
  • Prepares highly confidential computer based, institutional examinations for WMed students.
  • Assists in the coordination and delivery of anatomy practical examinations.
  • Manages exam proctoring schedule.
  • Creates and manages online examination testing software question bank.
  • Provides technical support and troubleshooting for exams and escalates issues to appropriate software vendors as necessary.
  • Assists with creation of assessment and evaluation tools in the learning/curriculum management system(s) and other applications.
  • Provides training and support on testing software to faculty, staff, and students.
  • Assists with training new exam proctors on institutional protocols and best practices.
  • May serve as Executive Chief Proctor for scheduling, administering, and reporting on NBME examinations.

Curriculum

  • Facilitates course/clerkship assessment and engagement and professionalism tools with course/clerkship coordinators/directors.
  • Produces annual schedules for exam creation, development, and administration.
  • Maintains testing category/mapping tags for reporting purposes.
  • Assists manager with course enrollment, leave of absence, and accommodation tracking.
  • Assists the Medical Education Specialists with the development and revisions of program evaluation tools.

Data

  • Maintains course/clerkship exam data in the learning management platform, exam administrationsystems, and Microsoft SharePoint.
  • Collaborate with course coordinators to verify quiz participation and scoring.
  • Creates, maintains, and reports on student performance data across multiple software platforms.
  • Assists with program evaluation, student performance, and accreditation reporting for Curriculum Committee and accreditation needs.
  • Management of assessment/mapping data for all courses and clerkships.
  • Produces curriculum data, reports, and documentation of medical school processes for HLC, LCME, etc.

General

  • Creation of new and/or revisions to existing gradebooks in the learning/curriculum management system(s).
  • Assists team with learning/curriculum management system(s) ticketing management.
  • Acquires knowledge for new technology and policy/procedure revisions.
  • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
  • All other duties as assigned.

EDUCATION AND/OR EXPERIENCE:

  • Bachelor's degree in education, business administration or a related field preferred or a minimum of two years in an administrative or educational setting.

  • Requires proficiency with email, electronic calendaring, and office equipment.

  • Requires proficiency with Microsoft Office (Word, Excel, and PowerPoint).

  • Experience with Apple technology preferred.
