POSITION DESCRIPTION
The Coalition for Humane Immigrant Rights (CHIRLA) is seeking a Data Coordinator to support the Data Department and Program Services Administration (PSA) team by executing data tracking, validation, and reporting workflows across legal services and subgrantee programs. This role is responsible for ensuring that data submitted by internal teams and external subgrantees is accurate, complete, and aligned with contractual and reporting requirements. The Data Coordinator prepares reports and datasets for review and approval by the Director of Data Analytics & Programs and plays a critical role in supporting subcontractor billing, compliance tracking, and program reporting. This is an entry-level, execution-focused role requiring strong attention to detail, consistent follow-through, and the ability to manage recurring deadlines across multiple stakeholders.

The Data Coordinator is responsible for executing reporting processes and preparing data for review. Final approval of reporting outputs, reporting logic, and data standards are the responsibility of the Data Department. This role is designed to grow into more advanced data responsibilities over time, including increased ownership of reporting deliverables and exposure to data analysis and process improvement.

DUTIES AND RESPONSIBILITIES:
  1. Subgrantee & PSA Reporting
    1. Track and monitor subcontractor deliverables, including case filings, consultations, supportive services, and education and outreach activities.
    2. Compile and maintain reporting data from subgrantees using Salesforce, Excel, SharePoint, and reporting portals
    3. Perform follow-ups with subgrantees to resolve missing, incomplete, or inconsistent data.
    4. Prepare weekly deliverables reports for PSA leadership
    5. Maintain tracking systems for reporting deadlines and ensure timely submission compliance
    6. Prepare structured datasets to support subcontractor billing processes (final approval completed by leadership)
  2. Legal Services Reporting Support
    1. Pull, clean, and compile legal services data from systems such as Salesforce and e-Immigration
    2. Prepare draft reports for review
    3. Assist legal services staff in meeting data collection, reporting requirements and compiling deliverable reports to funders.
    4. Own smaller reporting deliverables as assigned and as skill level increases
  3. Data Quality & Validation
    1. Perform routine data validation to identify errors, omissions, and inconsistencies
    2. Conduct data quality checks to ensure compliance with reporting requirements
    3. Flag discrepancies and escalate issues to the Data Analytics & Evaluation Manager
    4. Support preparation of documentation for audits and reporting reviews
  4. Coordination & Communication
    1. Coordinate with PSA, Data, and Legal teams to align reporting timelines and requirements
    2. Provide updates on reporting status, outstanding items, and data issues
    3. Follow up with internal and external stakeholders to ensure timely and accurate data submission
    4. Participate in cross-functional meetings as needed 
  5. Documentation & Process Support
    1. Maintain and organize reports, audits, and documentation in SharePoint
    2. Support the documentation and improvement of reporting processes and workflows
    3. Assist in refining reporting templates and tracking systems over time
  6. Additional Responsibilities
    1. Support data-related requests from internal teams as needed
    2. Maintain confidentiality and proper handling of sensitive client data, including PII and immigration-related information

SKILLS AND QUALIFICATIONS:
Required
  • Bachelor’s degree in related field or equivalent related experience
  • At least two years of experience in data coordination, reporting, administrative support, or related roles with the ability to manage high-volume data accurately.
  • Intermediate proficiency in Microsoft Excel (sorting, filtering, formulas, data cleaning).
  • Strong organizational and time management skills with the ability to meet recurring deadlines.
  • Ability to handle confidential and sensitive information responsibly.
  • Excellent organizational skills and the ability to work and problem-solve under pressure.
  • Computer literacy: word processing, internet navigation, and other work-related applications.
Preferred:
  • Extremely organized. Must be able to work efficiently and manage multiple projects at once, which may be at different stages of design and execution.

JOB TITLE: Data Coordinator
Salary & Benefits: $70,304
CHIRLA offers a competitive salary based on qualifications and an excellent benefit package, which includes generous time off benefits, 401K Plan, health, dental and vision plans. 
FLSA Classification: Exempt, full-time regular 
Classification: CHIRLA recognizes a staff bargaining unit affiliated with AFSCME Local 4501. This position is included in CHIRLA’s bargaining unit and covered under the terms of the collective bargaining agreement. 
REPORTS TO: Director of Data Analytics and Programs 
CLOSING DATE OF THIS POSITION: Position will remain open until filled.
