Position: CW FCD Administrative Assistant

Location: Gardena, CA, 90248

Duration: 12 Months

Job Description:

Department Level [70%]
  • Manage and support accounting needs for the department (PO issuance, budget tracking, payment processing, etc.)
  • General administrative support for FCD - which includes but not limited to:
  • Test Team support: Reserve meeting rooms, create meeting schedules, order supplies, etc.
  • Support scheduling of Department Meetings, prepare meeting agenda & materials to support meeting.
  • Support responses to TL1 for litigation holds from FCD.
  • Coordinate and schedule on & off-site Teambuilding activities on as-needed basis.
  • Manage FCD production Fleet vehicles (lease and purchase) to ensure usage, maintenance, tracking, plating & vehicle distribution to the appropriate members/groups.
  • Support West Coast Operations through visitor tracking, scheduling / managing of resources & general support of visitor needs.
  • Develop processes to ensure site-wide needs are met (i.e., Evacuation process)
  • Develop training to support visitors to Gardena (i.e., create presentation of Gardena / Carson facility safety requirements, resource scheduling, etc.)
Shared Services Office Support (Gardena & Carson) [20%]
  • Stock and maintain Cafeteria supplies for the Gardena/Carson campus.
  • Communicate with PPS on needs, deficiency, etc.
  • Stock and maintain Office Supply Rooms.
  • Monitor standard and non-standard supplies and make recommendations to management regarding purchase decisions.
  • Organize and maintain Mail Rooms.
  • Monitor all hoteling work areas to prepare for visitors.
  • Desks / rooms should be clean and free of unneeded materials.
  • Support Fitness Center procurement, compliance for users, budget management and communication with Corporate Shared Services.
  • Support on-site vending by overseeing site needs, communication, problems, etc. with vendor(s).
External Affairs [10%]
  • Support & collaborate with community needs which include working with the 186th Street School for events, donations, etc.
  • Support local Donation Drives for the community (incl. school or other charities)
  • Coordinate & Support Adopt a family activity with the members and local community needs.
Requirements:
  • Minimum 3 years of general office/department support experience.
  • Excellent verbal, written and interpersonal skills.
  • Excellent customer service skills.
  • Proficient in MS Office (Outlook, Excel, PowerPoint, Word).
  • Familiarity with SharePoint, Visio, & Project are preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Strong ability to work independently and with others.
  • Preferred English/Japanese Bi-lingual (speaking, listening, reading & writing).
