Description

Were seeking an exceptional public service professional to join our team as a Customer Service/Clerk Specialist.

Youll put your stellar communication abilities to work answering calls, assisting residents in person, and liaising with internal departments. Variety is the name of the game - no two days will look the same. Youll help process payments, licenses, and permits; assist with elections; help customers get what they need; and handle other duties for the Treasurer and City Clerk Departments. Well leverage your can-do attitude and customer service savvy to keep city operations running smoothly. In this role, youll have the power to make a difference in our residents lives while contributing to the betterment of our community.

Hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Examples of Duties

  • Provide courteous prompt service to internal and external customers; Answers telephone calls and handle or route appropriately; process and receipt payments into cash receipting software, including but not limited to water bills, property tax payments, permits, licenses, and other misc. invoices; adheres to the cash management requirements and cash drawer security; maintains and updates departmental records, files and a variety of reports; Actively collaborates with team members to maintain a productive work environment; helps and supports other team members as needed. Enters and reconciles transactions in the appropriate systems.
  • Prepare correspondence, reports and documents as needed; update various departments' records; scan and index city records; accept legal documents on behalf of the city, serve as a notary public.
  • Assist businesses and individuals in determining the types of licenses or permits needed, review of applications for accuracy and completion, review police reports and WORCS data collection. Processing and issuance of licenses and permits according to federal and state laws and municipal ordinances and departments' guidelines.
  • Assist in creating agendas, assembling, and distributing agenda material and packets; assist in transcribing minutes; assist in reservation and set up of meeting resources (rooms, equipment, etc.); Assist in the creation and administration of files, documents, and workflows in Legislative and Municode software; Assist in the administration of oaths; Assist in adherence to public hearing notices, posts, publications, and notification requirements.
  • Assists in the election process including, but not limited to: Voter registration, absentee voting, special voting deputy duties, election software entry and updates, assist in publication, agenda, minutes, and notice requirements, contact voters as needed
  • Other duties that from time to time may be required and assigned.

Qualifications

  • Associate's Degree required.
  • Preferred Degree in Administrative Professional or related field.
  • Five years of administrative support work experience including extensive customer service interaction, and cash handling in a large organization or equivalent.
  • Ability to enter data and utilize software in accordance with the needs of the department. Demonstrated proficiency in Microsoft Office Suite programs - including Microsoft Outlook (mail, calendar, tasks), Word (templates, forms, mail merge, reviewing) and Excel; and Adobe Acrobat.
  • Advanced skills in English grammar/writing and math. Experience working with groups of people from diverse backgrounds.
