Job Summary

This front-line position creates the first impression of the County at the Shelby County Airport. As such, strong customer service skills are key elements of this role. Work involves greeting and servicing the needs of aircraft, flight crews and visitors to the airport. The position involves inventory and documenting all inbound shipments of aviation fuel and other materials. Involves routine facilities inspection and housekeeping tasks. The position involves assisting with the administration of hangar leases, including obtaining and tracking insurance certificates and verifying their yearly renewal, and coordination of inbound and outbound communications by phone, radio and written means. The position involves coordinating the activities at the terminal facility and relationships with the maintenance shop and flight school. Work includes reception, referral, clerical assistance and customer service. The position involves maintaining and updating a hangar waiting list with minimum monthly updates. The position involves the coordination of moving, parking, securing and fueling of aircraft. This position must accurately process transactions using the County airport software systems and collect payments related to hangar leases and fuel sales. The position also involves other tasks that may be assigned from time to time by the Supervisor.

Duties and Responsibilities

  • Assisting customers in person, by telephone and email to answer questions or address and resolve concerns related to airport services.
  • Greets customers, visitors and flight crews and provides appropriate assistance.
  • Performs clerical duties such as filing, monitoring inventory and assisting co-workers.
  • Performs customer service functions as directed.
  • Adapts to changing conditions including workload surges and varying workflows.
  • Provides routine information upon request or refers questions to proper personnel.
  • Routine housekeeping tasks.
  • Assists with the administration of hangar leases and insurance certificates and coordination of inbound and outbound communications by phone, radio and written means.
  • Provide assistance to flight line crew as directed.
  • Enters purchase order requisitions.
  • Collects, opens and separates mail.
  • Maintains professional behavior and delivers excellent customer service.
  • Prepares and transmits monthly billings and assists the accounting department with compiling accounts receivable reports for review.
  • Manages accounts payable and accounts receivable, posting transactions and reconciling accounts.
  • Enters detailed information into the airport software system of all daily transactions, checks all tenant transactions at the end of the month, and ensures accurate delivery of invoices to all tenants on the first of each month.
  • Performs duties in a safe and efficient manner.
  • Performs all other duties as assigned by supervision.

Qualifications and Requirements

MINIMUM REQUIREMENTS

  • High school diploma or equivalent
  • Direct experience with spreadsheet programs such as Excel and word processing programs such as Microsoft Word or equivalent software.
  • Valid Driver's License.
  • Willingness to work nonstandard hours (weekends) and more than 40 hours per week if required.

PREFERRED REQUIREMENTS

  • One year of experience relative to the described duties and responsibilities.
  • Post-secondary education that includes courses in Business, Accounting or Finance.

Majority of work is performed in an office environment and includes some outside work.

PHYSICAL REQUIREMENTS

Work is light to medium in nature and consists of standing, walking, bending, crawling, climbing, lifting, carrying, and pushing and pulling of up to 50 lbs., driving, cleaning and servicing of office equipment.
