JOB SUMMARY

Customer Service Representative

Provides comprehensive customer-facing support across the Code Enforcement Division. Handles inquiries, payments, filings, notices, complaints, scheduling, and public information while ensuring accuracy, confidentiality, professionalism, and adherence to established legal and administrative procedures.

ESSENTIAL JOB FUNCTIONS

 

  • Complaint Intake: Log and document complaints received via phone, email, and walk-in inquiries; verify jurisdictional authority.
  • Inspection Scheduling: Assign and schedule inspections in accordance with workload, geographic areas, and urgency; maintain inspection calendars, track critical deadlines, and follow up to ensure inspections are completed within established timeframes.
  • Payment Processing: Receive and process permit and re-inspection fees; issue receipts, accurately record transactions, and perform daily balancing and reconciliation of cash drawers and reports.
  • Re-inspection Tracking: Coordinate and schedule follow-up activities based on inspection results and compliance timelines; maintain accurate status updates in case management systems; and finalize case closures once all requirements are satisfied.
  • Public Information: Respond to inquiries about permits, fee structures, and application processes; identify questions requiring technical expertise and ensure they are directed to the appropriate staff or department for resolution.
  • Reporting: Generate and review inspection reports, including open, past-due, and completed cases; analyze data to ensure timely follow-up and accurate tracking.
  • Attention to detail: Applies careful attention to detail in processing permits, fees, and inspections to ensure that all information provided to the public and internal teams is accurate, complete, and compliant.
