As a Customer Service Representative, you'll play a key role in supporting community programs, ensuring smooth operations, and delivering exceptional service. You'll collaborate with a dedicated team to provide vital assistance to clients, staff, and community partners.

What You'll Do

As a Customer Service Representative, you will be responsible for:

• Monitoring traffic flow and environment in the waiting area to ensure safety and efficiency
• Managing email logs, printing, and distributing documents to staff daily
• Overseeing mail distribution, logging items, and ensuring timely dispatch of bulk mailings
• Investigating and resolving client complaints or issues promptly
• Greeting visitors, providing information, and directing them to the appropriate personnel
• Responding to general inquiries from the public about various programs
• Looking up data in the system of record and updating visitor or caller notes appropriately
• Answering incoming phone calls, providing information, and routing calls as needed
• Reviewing accommodation requests, and preparing recommendations for approval or denial
• Monitoring intake, eligibility activities, and voucher issuance to ensure compliance
• Ensuring timely and accurate payments through check run activities
• Preparing weekly, monthly, and annual reports on inquiries, visits, and voucher activity
• Communicating any issues or complaints regarding discrimination, legal actions, or sensitive matters to management
• Promoting a respectful, collaborative work environment and fostering teamwork
• Following HUD regulations and organizational procedures for program compliance
• Representing the organization professionally during interactions with government agencies, community groups, and private partners
• Performing supervisory duties including assigning tasks, training, and performance evaluations
• Identifying systemic issues affecting customer service and recommending improvements
• Performing other duties as assigned to support program success

What You'll Bring

The ideal candidate for this role will have:

• High school diploma or equivalent; additional education preferred
• At least three years of experience in a professional office setting with customer service and administrative responsibilities
• Strong leadership skills with the ability to motivate and guide a diverse team
• Proficiency in Office software such as Word, Excel, and record systems (e.g., Emphasys)
• Excellent verbal and written communication skills in English; bilingual in Spanish or other languages is a plus
• Knowledge of HUD regulations and federal policies related to housing programs
• Ability to negotiate, resolve conflicts, and handle multiple priorities effectively
• Demonstrated success working with socio-economically and ethnically diverse populations
• Capable of working with limited supervision and handling constant interruptions gracefully
• Willingness to work evenings, weekends, or non-regular hours as needed
• Experience managing administrative tasks, reports, and documentation
