Position Summary: The Customer Service Representative / Front Office Assistant is responsible for providing professional, friendly, and efficient service to customers, guests, visitors, and staff. This role supports daily front office operations by answering phones, greeting guests, checking guests in and out, responding to inquiries, receiving, and processing customer orders by email or phone, checking inventory availability, maintaining accurate records, and helping ensure a welcoming and organized office environment. Standard work schedule for this position is Monday through Friday, 8:00 AM to 5:00 PM. Regular and consistent attendance is required to support front office coverage, customer service needs, phone support, order intake, and daily administrative responsibilities.

Key Responsibilities

  • Answer incoming phone calls in a professional and courteous manner, directing calls to the appropriate person or department as needed.
  • Greet guests, customers, vendors, and visitors upon arrival and aid with questions or requests.
  • Check guests in and out accurately while following company procedures and maintaining a positive customer experience.
  • Receive customer orders by phone or email, review order details for accuracy, and enter orders according to company procedures.
  • Confirm important order information, including customer name, account details, product numbers, quantities, delivery or pickup requirements, pricing details when applicable, and requested timelines.
  • Check inventory availability for requested products and communicate stock status, expected availability, or back-order information to customers and internal team members.
  • Coordinate with warehouse, purchasing, sales, or operations staff to verify product availability, order status, shipment timing, and customer requirements.
  • Respond to customer inquiries in person, by phone, or by email and provide accurate information or escalate concerns when necessary.
  • Maintain accurate customer records, order notes, call logs, email correspondence, and front office documentation.
  • Follow up with customers regarding order confirmations, missing information, inventory updates, delivery status, or issue resolution.
  • Maintain a clean, organized, and welcoming front desk and reception area.
  • Assist with scheduling appointments, updating customer or guest records, and maintaining files or logs.
  • Process paperwork, forms, payments, order documents, invoices, or other documentation according to company policies.
  • Communicate guest, customer, or order-related needs to appropriate staff members to support timely service and issue resolution.
  • Support general administrative tasks such as copying, scanning, filing, data entry, email monitoring, and mail handling.
  • Follow confidentiality, safety, inventory accuracy, and customer service standards at all times.
