Position: Customer Relations Coordinator

Pay Rate: $22.00 per hour

Schedule: Mon - Fri 8am to Finish

Job Description:

The Customer Relations Coordinator is responsible for supporting daily warehouse and office operations by managing administrative functions, maintaining accurate records, and serving as a key point of contact for customers, drivers, and internal teams. This role ensures timely communication regarding freight availability, processes domestic and international documentation, assists with inventory and manifest management, and provides exceptional customer service by resolving inquiries and supporting operational needs. The Customer Relations Coordinator works closely with multiple departments to ensure efficient workflow, compliance with company policies and safety regulations, and continuous improvement of administrative processes while maintaining a clean, organized, and secure work environment. This position may also provide hands-on support to warehouse operations and cargo handling activities as needed.

Core Responsibilities & Duties:

  • Manage day-to-day administrative tasks in a warehouse setting.
  • Organize and maintain files, records, and documents.
  • Assist in inventory management and data entry.
  • Provide administrative support to warehouse management.
  • Handle incoming calls and correspondence.
  • Maintain accurate records of warehouse activities.
  • Assist in preparing reports.
  • Coordinate with various departments for smooth operations.
  • Serve as a primary point of contact for office-related inquiries.
  • Ensure compliance with safety regulations and company policies.
  • Notify customers daily of freight availability.

  • Data entry for all domestic and international bills.

  • Maintain a driver, customer, and visitor sign in log.
  • Maintain a cash log file.

  • Arrive inbound manifests and close out outbound manifests (as needed) in the AS400.

  • Consistently monitor e-mail requests and provide detailed information in a timely fashion.

  • Support warehouse operations through administrative tasks.
  • Assist in maintaining accurate inventory records.
  • Assist in managing inventory and stock levels.
  • Communicate effectively with warehouse team members.
  • Ensure compliance with company policies and procedures.
  • Prepare in-bond documentation/ YYZ preparation and E.D.I.S.

  • Maintain and improve office cleanliness and organization. 

  • Assist as a cargo handler when needed. 
  • Receiving and handing manifests to drivers as inbounds arrived or loads depart. 

  • Proficient with Microsoft Office products including Word, Excel, PowerPoint, Outlook, etc.
  • Respond to customer inquiries and resolve issues.
  • Support continuous improvement initiatives.
  • Oversee all administrative functions within the warehouse.
  • Monitor office security procedures; ensure compliance with health and safety regulations; and maintain emergency preparedness plans.
  • Identify opportunities for streamlining administrative processes; and suggest changes to enhance operational efficiency.
  • Manage incoming and outgoing communications, including emails, letters, and phone calls; prioritize and respond to inquires promptly and professionally.
  • Maintain filing systems, databases, and spreadsheets; ensure accuracy and completeness of data; and retrieve information as needed.

  • Must be able to pass basic hazardous materials training

Skills:

  • Ideal candidate will possess a “can do” attitude with a “will do” work ethic

  • Must have the ability to work in a fast paced environment

  • Strong verbal and written communication skills

  • Experience with AS400 operating systems is a plus

  • Transportation industry knowledge and experience is a plus

  • Computer skills, including MS Office/Excel, AS400 functions: air-bills, manifest, customer, customer service, reports, etc.
