What You'll Do

• Support leaders at a high level by managing calendars, meetings, travel, and communications to keep priorities on track
• Leverage Excel to analyze data, create reports, and produce graphs that inform leadership
• Own purchasing and financial coordination including purchase orders, invoicing, expense tracking, and budget reporting
• Prepare polished deliverables by organizing notes from multiple stakeholders and turning them into clear, professional summaries
• Plan and coordinate meetings and projects including agendas, materials, minutes, and follow-ups

• Excel skills including data analysis, intermediate formulas and chart/graph creation
• Proficiency in PowerPoint, Canva, and the full Microsoft Office Suite to create clear, visually engaging materials
• Strong organizational and multitasking abilities with a proven ability to prioritize effectively in a fast-paced environment
• A problem-solving mindset with the ability to think critically and improve processes
• Experience managing financial processes such as purchase orders, invoicing, or budget tracking preferred
• A positive, professional attitude with strong communication skills and the ability to work across all levels of an organization

• Supports Directors and Managers in the Customer organization with goal attainment and area responsibilities.
• Plans and coordinates meetings, meeting materials and agendas, conferences, events and other calendar appointments for Directors and Managers.
• Coordinates, and ensures Directors and Managers have appropriate information for meetings as needed. Transcribes meeting minutes, as requested.
• Manages and maintains calendars, email and other mail for Directors and Managers.
• Coordinates and arranges travel, conferences, and other outside appointments for Directors and Managers and communicates details.
• Manages phone calls, prepares correspondence, presentations, along with Director and Manager communication.
• Completes expense reports, procurement card reconciliations, purchase requisitions, invoice receipts and other documentation for Directors and Managers.
• Tracks and monitors various company dashboard gauges and business strategies.
• Prepares, plans, monitors, and analyzes monthly, quarterly and annual department budget reports, ensuring information is accurate, complete, and entered in a timely fashion.
• Informs Directors and Managers of any budgeting or reporting issues as they arise.
• Plans, coordinates, and executes special projects, as needed.
• Conducts subject research as necessary to complete special projects.
• Compiles, updates, and distributes weekly, quarterly, and annual customer reports as needed.
• Implements new technology that addresses departmental needs.
• Monitors and maintains appropriate levels of office supplies, equipment, and other materials.
• Administers distribution of the department's US and interoffice mail. Opens and sorts related mail.
• Answers telephones, handles calls, routes to appropriate individual, or takes messages.
• Ensures customers, vendors and employees are handled in a professional and courteous manner.
• Maintains various records, job descriptions, development plans and other department materials as required.
• Organizes filing and archive system to facilitate the efficient retrieval of information so that department personnel may accomplish their responsibilities.
• Prepares various confidential departmental reports as assigned.
• Assists department personnel with various projects.
• Must be proficient in Power Point, Word, Excel, and Outlook.
• Coordinates and updates as needed Customer Care intranet.
• Must be familiar with TEP/UNS onboarding and termination process and contractor management system.
• This position may provide services to affiliates of the Company subject to the UNS Energy Code of Conduct and the related Policies and Procedures.
