Job Summary

Provide support to Curriculum and Assessment areas including coordination of curriculum and assessment processes, maintaining web-platforms and communication and coordination with faculty and other personnel on campus regarding their curriculum and assessment needs. Assist the Academic Advising and Registrar’s Office with campus-wide communication of important academic information.

Primary Responsibilities

Within Efforts to Support the Responsibilities of the Associate AVP for Curriculum & Assessment

  • Catalog and Curriculum Records Updating and Correction Coordinates and helps to update and standardize University curriculum in Workday, the online Catalog in Brightspot, the printed Catalog, and requirement sheets (internal PDF’s and online in Brightspot), including helping to coordinate the efforts to develop new systems for this.
  • Ensure that all printed and posted items are 504/508 compliant.
  • Coordinate curriculum coordination meetings between AAVP for Curriculum & Assessment, Academic Advising and Registrar’s office every summer to go over all curriculum information in each data system (PeopleSoft, online catalog, printed catalog, requirement sheets and Stellic) for consistency and accuracy.
  • Communicate any discrepancies found in curriculum coordination meetings with programs and generate appropriate curriculum forms to document changes
  • Perform routine checks on workflows in progress for online catalog
  • Perform other tasks as needed.

New Curriculum Proposal and EZ Form Process

  • Coordinates the paperwork, review and record keeping for curriculum proposals and EZ forms.
  • Helps to finalize proposals for curriculum change with programs, advisors, and the Registrar's Office.
  • Coordinates scheduling of University Curriculum Council meetings, take minutes for meetings and communicates decisions and feedback to proposal writers.
  • Track all curriculum changes for curriculum coordination meetings between the curriculum office, Academic Advising and the Registrar’s Office.
  • Perform other tasks as needed.

Technical and Other Support for Curriculum, Assessment, Academic Advising and Registrar’s Office

  • Assist in program review process by scheduling faculty meetings and take minutes during meetings
  • Update and prepare correspondence for meetings such as agendas, slideshow presentations, handouts, etc.
  • Take preparing and sending out first and second letters to program reviewers.
  • Communicate and coordinate program review agenda with program Administrative Assistant.
  • Process honorarium payments for external reviewers.
  • Communicating Canvas messages to be posted each semester to Canvas Support Team.
  • Create academic dates to remember flyers for students (printed and online in Brightspot).
  • Post academic dates and final exam schedule for each semester in Brightspot.
  • Ensure that all printed and posted items are 504/508 compliant.
  • Set up course evaluations in AEFIS each semester.
  • Troubleshoot any problems and respond to questions regarding AEFIS platform
  • Perform other tasks as needed.

Budget Support for Curriculum and Assessment

  • Assists in the preparation of curriculum, assessment and AAVP budget.
  • Processes and monitors curriculum and assessment budget expenditures.
  • Creates and maintains databases, web sites, spreadsheets, tables, graphs and PowerPoint presentations
  • Performs other tasks as needed.

Minimum Qualification and Experience Requirements

  • Bachelor's Degree is preferred in any field.
  • A minimum of 2 years of equivalent administrative experience is highly preferred.

Skills

  • Excellent verbal and written communication skills.
  • Planning and organizational skills, ability to supervise clerical/secretarial/student staff.
  • Excellent computer skills with Microsoft Word, Excel, PowerPoint, Publisher, Outlook, Visio, InDesign, Adobe PDF, Workday, PeopleSoft, Brightspot.
  • Knowledge of University policies and procedures, accounting and budgeting principles and methods.

Approximate starting hourly rate:

22.00 - 24.00
