About the Krach Institute for Tech Diplomacy at Purdue
Founded in 2021, the Krach Institute for Tech Diplomacy at Purdue (KITDP) is a first-of-its-kind institution advancing a critical mission: ensuring that technology advances freedom—not authoritarian control.

Why This Role Matters At KITDP, our network is our strategy. The CRM & Systems Manager will play a foundational role in building and scaling that network—serving as the architect and steward of the systems that power our partnerships, fundraising, Academy growth, and global engagement.
This is not a data entry role. This is a systems leadership role.
You will establish the CRM as the single source of truth for the Institute—designing the structure, enforcing governance, and driving adoption across the organization so that leadership can make informed, real-time decisions and maximize impact.

Responsibilities
1. Architect the Trusted System
Design the CRM (HubSpot or equivalent) to reflect KITDP’s full ecosystem: fundraising, corporate and government partnerships, Tech Diplomacy Academy, Advisory Council, and convenings
Define and implement data governance standards (required fields, deduplication, data integrity rules)
Manage user roles, permissions, and security protocols
Develop and maintain SOPs to ensure long-term institutional continuity
Serve as the primary liaison to developers and vendors for configuration and integrations
2. Drive Organization-Wide Adoption
Train staff across functions and levels on CRM usage
Establish a culture of “CRM-first” for pipeline management and engagement tracking
Enforce compliance through audits, feedback, and accountability mechanisms
3. Build Executive-Level Visibility
Design dashboards aligned with institutional priorities: fundraising, partnerships, Academy growth, Advisory Council engagement, and events
Deliver board-ready reporting with minimal manual intervention
Enable teams to self-serve insights and reporting
4. Oversee Integrations
Manage integrations between CRM and key platforms (Academy, communications tools, calendar/email systems, etc.)
Monitor data flows and resolve sync issues with technical partners
5. Continuously Improve the System
Conduct quarterly audits on data quality and usage
Identify and implement system enhancements
Stay current on CRM best practices for mission-driven organizations
What Success Looks Like
Adoption: 90%+ compliance on required fields across teams
Data Integrity: High accuracy, minimal duplication, and measurable improvement over time
Usability: Leadership and staff actively rely on dashboards for decision-making
Impact: CRM enables full activation of KITDP’s global network across all programs
Continuity: SOPs and workflows are institutionalized and scalable
Efficiency: Significant reduction in manual reporting and data reconciliation
Required Skills, Knowledge and Expertise
Proven experience designing and managing CRM systems (HubSpot strongly preferred)
5+ years relevant experience required
Bachelors degree required
Track record of driving data governance and organizational adoption
Systems thinker: able to translate strategy into workflows and infrastructure
Experience working with developers/vendors on integrations and configurations
Strong communication and training skills—you can influence across teams
Experience in nonprofit, academic, policy, or mission-driven environments is a plus
