As our CRM Coordinator, you will serve as the primary engine behind our customer relationship platform, ensuring that our data is pristine and our team stays connected. This role is a perfect fit for a proactive professional who enjoys the intersection of technology and communication. You will manage everything from lead distribution and account setups to website updates and email campaigns, playing a vital part in how we engage with our clients and streamline our internal operations.

Key Responsibilities:

  • Data Stewardship: Maintain, audit, and update customer records within the CRM to ensure a "single source of truth" for the organization.

  • Lead Management: Review, distribute, and track incoming web leads in real-time to ensure no opportunity is missed.

  • Internal Systems Support: Act as the go-to resource for team members regarding CRM updates, basic troubleshooting, and login assistance.

  • Communication Oversight: Manage shared inboxes, route requests to the appropriate departments, and distribute approved client communications.

  • Operational Tracking: Monitor account activity, track new setups, and ensure all required documentation is collected and filed accurately.

  • Digital Support: Assist with basic website updates using WordPress and support the execution of email marketing campaigns via platforms like Mailchimp.

  • Financial Data Entry: Input and maintain sensitive financial instruments (e.g., bonds/CUSIPs) within internal systems with a high level of precision.

  • Reporting: Maintain internal trackers and spreadsheets to provide leadership with accurate, up-to-date performance data.

Required Qualifications

  • Systems Experience: Prior professional experience working within CRM platforms or data management environments.

  • Technical Proficiency: Strong expertise in Microsoft Office, with a heavy emphasis on Excel (data management) and Outlook.

  • Detail Orientation: Extraordinary attention to detail and organizational skills; a "zero-error" mindset when handling data.

  • Communication: Strong written and verbal communication skills for effective cross-departmental collaboration.

  • Attributes: A proactive, resourceful self-starter who takes ownership of their work and is motivated by continuous process improvement.

Desired Qualifications

  • Marketing Exposure: Experience with email marketing platforms (e.g., Mailchimp) or automation tools.

  • Industry Context: Familiarity with financial services or working within highly regulated, compliance-driven environments.

  • Technical Curiosity: A desire to learn new systems and a natural curiosity for how platforms can be optimized for better performance.
