UNCLASSIFIED POSITION LOCATED IN FULTON COUNTY PROBATE COURT

Minimum Qualifications:

High School diploma or GED (coursework in business or public administration, criminal justice, law, or related area is preferred) and two or more years of legal or court-related experience; or an equivalent combination of education and experience. Specific License or Certification Required: None

Specific Knowledge, Skills, or Abilities: Requires knowledge of Legal terminology related to the area of assignment. Laws, rules, and regulations governing court procedures. Practices and procedures of the Fulton County Court System. General office practices, procedures, equipment, and technology.

Requires skill in delivering high-quality, customer-focused service. Reviewing documents for conformance with procedural requirements. Reading and interpreting legal documents. Keyboarding and data entry. Using a spreadsheet, database, word processing, presentation, and other software. Understanding, using and explaining Court-specific computer applications to manage court processes, gather and analyze statistics, and create reports. Performing general clerical functions. Identifying and investigating facts of a legal matter. Resolving problems and making decisions. Generating enthusiasm and support for program objectives. Communicating effectively with coworkers, supervisors, legal professionals, and the public.

Examination:

The examination will consist of an evaluation of education and experience, accomplished by an analysis of the application. The application must document that the applicant possesses the minimum knowledge, skills, education, and experience as listed to be rated as qualified. Purpose of Classification:

Assist the public in matters pertaining to probate and administration of decedents estates, marriages and firearms licensure and guardianships and conservatorships of adults and minors, provides specialized administrative support to court staff.

Essential Functions:

This job description indicates, in general, the nature and level of work, knowledge, skills, abilities, and other essential functions (as covered under the Americans with Disabilities Act) expected of the incumbent. Collects fees and reviews and accepts legal documents for filing in accordance with court procedures and prescribed time frames. Assists in development of operational procedures in response to changes in laws, rules, regulations, and other matters that affect the operations of the Court.

Accepts, reviews and processes licensure applications. Processes and reviews pleadings related to probate and administration of decedents estates and adult and minor guardianship and conservatorships. Reviews incoming and outgoing documents for completeness and accuracy; processes documents for filing in accordance with court rules. Prepares draft orders for signature by the Probate Judge of Judicial Officer.

Provides procedural guidance to members of the public and attorneys. Enters data from court documents into the court case management system. Calendars court hearings, responds to court orders and other relevant documents regarding the court system. May perform extensive audit functions of financial reports filed by estate fiduciaries. May create documents related to probate matters.

Ensures the proper filing, collection, and recording of legal documents including pleadings, licenses, permits, wills, and other various documents processed through the Fulton County Court System. Provides cross-functional support for all internal departments of the Fulton County Probate Court.

Processes disposed cases for archiving. Reviews weekly court calendar to ensure accuracy. Administers oaths and issues Letters of Guardianship, Letters of Administration and Letters Testamentary. Explains duties and responsibilities to the appointed fiduciary. Files court records in accordance with court procedures and assists in an assigned records room.

Conducts record searches of estates. Initiates various statutory notice requirements. Serves as liaison between the Probate Court and the general public. Secures confidential information and disseminates and control the flow of confidential and public information. Performs other administrative functions such as responding to questions, opening mail and distribution of mail and responding to telephone inquires.

Physical Requirements:

Work is typically performed in an office-like environment. May work in high conflict situations and with difficult, sometimes dangerous parties. Positions in this class typically require talking, hearing, seeing, sitting, standing, walking, driving, bending, reaching, fingering, lifting, and carrying. Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
