JOB TITLE: Corporate Travel, Corporate Card & Expense Administrator
LOCATION: Foster City, CA (Hybrid (onsite 3x per week)
DURATION: 6 months
RATE RANGE: $50 - $60.71/hr

Job Description:

This role is responsible for managing, enforcing, and optimizing the Company's travel, expense, and commuter programs while providing support to Crew members and leadership.

Travel:

  • Understand, communicate, and enforce corporate travel policy for all travel reservations.
  • Assist Crew with travel reservations as needed.
  • Manage configuration, policy updates, employee access, and troubleshooting within travel management company (TMC) and online booking tool (OBT).
  • Maintain and enhance Travel infinity portal (intranet page).
  • Utilize and leverage AI to streamline work processes and communication channels.
  • Document and communicate internal team and Crew travel processes as needed.
  • Manage employee travel perks (air club passes, status match, elite status, upgrades, employee requests for upgrades) according to Company policy.
  • Make recommendations to the business related to improving travel policies and procedures.
  • Develop and conduct Crew training for travel policies and processes.
  • Analyze travel reporting and spend for savings opportunities (negotiation with vendors is not expected, but participation in communications and meetings with vendors may be required).
  • Assist with communications regarding traveler duty of care, including notifying travelers of restrictions, potential risks, or travel advisories issued for the cities/countries in which they are currently located or traveling to.
  • Team with Finance and Accounting to support expense reimbursements and corporate card programs.
  • Assist with internal meetings, including negotiating and coordinating group room blocks, meeting spaces, coordinating approvals, and issuing virtual travel cards and Uber vouchers.
  • Team with travel partners for air, hotel, car rental, etc. and participate in travel fairs or related functions.
  • Encourage and report on sustainability initiatives.
Commuter Program:
  • Manage Company s transportation and commuter benefits program, including shuttles, valet for parking, Caltrain, Uber, Vanpool, and other public transportation options.
  • Work with internal stakeholders & vendors to adjust or modify shuttle schedules, valet needs etc. per Company needs.
  • Analyze transportation data for opportunities to improve services, lower spend etc.
  • Report on travel vendor PO spend

Minimum Qualifications:

  • 8-10 years of experience in a similar role, serving as an admin for a corporate travel program.
  • Experience with T&E platforms, preferably Navan
  • Understanding of complex airline fare class structures, as well as NDC content.
  • Knowledge of airline upgrade processes, status tiers and elite benefits (specifically United Airlines, others would be a plus).
  • Understands rental car elite programs and booking policies.
  • Understands Hilton Honors, Client Bonvoy, and IHG brands/elite programs.
  • Advanced capabilities in Microsoft Excel for data analysis purposes.
  • Communicates effectively and clearly.
  • Able to work under pressure on multiple simultaneous tasks in a fast-paced environment.
  • Collaborative and assertive, capable of working cross-functionally within the Company.
  • GBTA or other professional travel industry certification preferred.

Compensation details listed in this posting reflect the base hourly rate or annual salary only, unless otherwise stated.
