Position Summary

Under the supervision of the Director of Enrollment Services/Registrar, the Coordinator of Student Services serves as the primary Student Services representative at the Wiregrass Center for Rural Healthcare at Dale Medical Center. The Coordinator provides comprehensive student support services throughout the student lifecycle, serving as the central point of contact for prospective, current, and graduating students attending programs at the Center. The Coordinator delivers high-quality customer service by coordinating admissions, enrollment, academic advising, registration, financial aid support, assessment and testing, career services, recruitment, retention initiatives, and student issue resolution. The position works collaboratively with Student Services and Health Science personnel on the main campus to ensure students at the Center receive equitable access to College services and resources.

POSTING DATE: JULY 22, 2026

SALARY: Based on education and experience commensurate with Salary Schedule C3 (range:$48,578- $97,216). Higher education could earn placement on a higher salary schedule.

The position will be based initially at the Wallace Campus in Dothan with a worksite location of Dale Medical Center.

Essential Duties and Responsibilities

ESSENTIAL FUNCTIONS: The following list was developed through a job analysis; however, it is not exhaustive and other duties may be required and assigned. Student Success and Student Support

  • Serve as the primary point of contact for prospective, current, and graduating students.
  • Promote student persistence, retention, and completion through proactive communication and follow-up.
  • Coordinate new student orientation, onboarding, and initial enrollment activities for Center students.
  • Assist students in navigating College policies, procedures, and available student support resources.
  • Resolve routine student concerns and facilitate appropriate referrals when issues require specialized assistance.
  • Coordinate with the Dean of Student Services regarding student complaints, behavioral concerns, and disciplinary matters in accordance with College policy.
  • Maintain regular communication with campus departments to ensure continuity of student services.
  • Assist with commencement preparation and graduation clearance processes for students assigned to the Center.

Admissions and Enrollment Services

  • Provide information regarding academic programs offered at the Center.
  • Assist prospective students through the admissions process.
  • Process admissions documentation as authorized.
  • Monitor application progress and communicate outstanding admission requirements.
  • Assist students with documentation, transcripts, placement requirements, and enrollment documentation.
  • Coordinate course registration and schedule adjustments in accordance with College procedures.
  • Refer students to appropriate Enrollment Services staff when specialized assistance is required.
  • Maintain student records and documentation in accordance with institutional policies.

Academic Advising and Registration

  • Provide academic advising within established institutional guidelines.
  • Assist students with course selection and registration.
  • Monitor student enrollment status and assist students with schedule modifications.
  • Refer students requiring specialized academic advising to appropriate faculty advisors or academic administrators.
  • Refer students with documented disabilities to Disability Support Services.
  • Provide information regarding academic policies, graduation requirements, and available student resources.

Financial Aid Support

  • Provide general information regarding federal, state, institutional, and scholarship financial aid opportunities.
  • Assist students with completion of financial aid documentation and scholarship applications.
  • Monitor student progress through the financial aid process and communicate outstanding requirements.
  • Refer students to Financial Aid staff regarding eligibility determinations, verification, satisfactory academic progress, and other specialized matters.
  • Provide information regarding veteran educational benefits and connect students with appropriate College personnel.
  • Assist Financial Aid staff with outreach and student communication efforts as assigned.

Assessment, Testing, and Career Services

  • Coordinate assessment and placement testing services for students attending the Center.
  • Administer approved assessments in accordance with College and testing vendor procedures, when certified.
  • Provide information regarding career exploration resources, transfer opportunities, and workforce pathways.
  • Coordinate referrals to Career Services and other student support resources.

Recruitment and Community Engagement

  • Serve as the Student Services liaison for recruitment activities at the Center.
  • Coordinate recruitment initiatives with the Office of Student Recruitment.
  • Conduct outreach activities throughout the Centers service area to promote academic programs.
  • Represent the College at recruitment events, community activities, healthcare events, and educational programs.
  • Coordinate campus visits and informational sessions for prospective students and community partners.
  • Develop and maintain positive relationships with local schools, healthcare partners, and community organizations.

Operations and Administrative Support

  • Maintain accurate student records and confidential information in accordance with FERPA and College policies.
  • Prepare reports and maintain documentation related to enrollment, student services activities, and outreach efforts.
  • Coordinate daily student services operations at the Center.
  • Monitor office supplies, instructional materials, and student resource availability.
  • Assist with implementation of new student initiatives and special projects.
  • Collaborate with Academic Affairs and Student Affairs personnel to ensure consistent delivery of services between the Center and the main campus.

Customer Service

  • Deliver exceptional customer service to students, employees, healthcare partners, and the general public.
  • Respond professionally to inquiries received in person, by telephone, email, and other communication methods.
  • Foster a welcoming and student-centered environment that promotes student success and institutional excellence.

Required Knowledge, Skills, & Abilities

  • Knowledge of admissions, registration, advising, financial aid, and student services functions.
  • Excellent customer service and interpersonal communication skills.
  • Ability to work independently while managing a remote student services operation.
  • Ability to establish effective working relationships with students, faculty, staff, and community partners.
  • Strong organizational and time management skills with the ability to prioritize multiple responsibilities.
  • Ability to interpret and explain College policies and procedures.
  • Proficiency with student information systems, Microsoft Office applications, and related technology.
  • Ability to maintain confidential student records in compliance with FERPA.
  • Strong problem-solving and conflict resolution skills.
  • Ability to communicate effectively both orally and in writing.

Qualifications

  • Bachelors degree from an accredited institution is required.
  • Two years of full-time experience working with students in a secondary or postsecondary educational setting is required.
  • Ability to work non-standard hours, including frequent after-hours activities during the week is required.
  • Possess a current and valid drivers license with the ability frequently drive to events and activities at Dale Medical Center and to be insured through the Colleges insurance provider is required.

ADVISORY COMMITTEE: The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interviews, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
