Summary:

The Coordinator, Foundation and Donor Services supports the Foundations fundraising, donor engagement, governance, scholarship, and operational activities. This position is responsible for coordinating development operations, maintaining donor information and reporting, supporting fundraising initiatives, and providing operational support to advance Foundation priorities, including the scholarship and industry relations programs.

This exempt position will report to the Director, American College of Surgeons Foundation in the Division of Foundation. This position is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

The anticipated salary range for this position is $62,000 - $65,000 (commensurate with related experience).

Responsibilities:

Development Operations & Donor Services

  • Manage donor database records, gift processing, reporting, and reconciliation activities.
  • Support donor stewardship efforts, including acknowledgments, communications, and donor record management.
  • Ensure data integrity and compliance with donor intent and organizational policies.

Fundraising & Donor Engagement

  • Support annual giving campaigns, fundraising initiatives, and donor communications.
  • Implement prospect research, pipeline management, and donor cultivation activities.
  • Maintain fundraising materials, digital content, and campaign reporting.
  • Manage the Foundation's participation at the Annual Clinical Congress and the Leadership and Advocacy Summit.

Governance

  • Coordinate Foundation Board activities including meeting organization, materials, and tracking.
  • Maintain governance documentation in Board Effect.

Event & Project Coordination

  • Coordinate Foundation events, meetings, and special projects.
  • Manage project timelines, logistics, and cross-functional communications.
  • Support event execution and post-event follow-up activities.

Financial & Chapter Fund Administration

  • Work in close cooperation with finance on budget tracking, donation reconciliation, and financial reporting.
  • Administer chapter fund contributions, reporting, and disbursement processes.
  • Maintain accurate financial and operational records.

Administrative & Operational Support

  • Provide administrative support for the ACS Foundation Director.
  • Coordinate calendars, meetings, reporting, and departmental communications.
  • Maintain standard operating procedures and support continuous process improvement.

Required Education and/or Experience:

  • Bachelor's degree from an accredited college or university is preferred, but not required.

  • 3+ years of experience in fundraising, donor services, nonprofit administration, development operations, or a related field is preferred.

  • Experience working within Raiser's Edge, or similar donor databases system, is required; experience with gift processing, reporting, and prospect research.

  • Experience coordinating events, special projects, and Board or governance activities is strongly preferred.

  • Experience supporting fundraising campaigns, events, Board activities, or donor stewardship initiatives preferred.

  • Proficiency with Microsoft Office Suite and database management systems.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities and deadlines with attention to detail.

  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.

  • Ability to collaborate effectively with internal and external stakeholders.
