Major/Essential Functions

  • Assist with chapter initiative implementation that support alumni chapter growth and engagement.
  • Serve as administrative support for program initiatives, supporting creation of timelines, event logistics, and collaborating with internal and external partners to help ensure successful implementation of alumni programming.
  • Serve as a liaison and support resource for chapter leaders and volunteers.
  • Maintain and distribute promotional materials for chapter use.
  • Manage records of chapter contacts and activities; ensure activities and updates are made in databases, apps, and websites.
  • Track chapter engagement metrics, scholarships, and fundraising progress.
  • Maintain departmental spreadsheets and calendars to streamline workflows and scheduling.
  • Oversee meeting logistics (Zoom or hybrid), including committees and chapter leader communications.
  • Assist with on-site logistics and alumni membership promotion at Frazier Pavilion gameday tailgates and other Alumni Relations events.
  • Serve as the central liaison between the Events team and cross-functional partners (Marketing, Communications and Business Operations) by streamlining communication, consolidating updates, and supporting alignment of event planning and operational workflows.

Schedule Details

The hours for this position are Monday through Friday 8am to 5pm in an assigned on-campus office. Minimal overtime and travel may be required to assist with events, meet deadlines, and complete work as assigned.

Preferred Qualifications

  • Professional experience in alumni relations, event coordination, volunteer management, and program support, preferably in a higher education setting.
  • Strong organizational and project management skills with proven ability to manage multiple deadlines and logistics simultaneously.
  • Excellent interpersonal and communication skills with the ability to work collaboratively with alumni, volunteers, colleagues, and university partners.
  • Experience supporting programs, including coordinating meetings, events, or communications with remote stakeholders.
  • Proven attention to detail, especially in recordkeeping, event planning, and coordination communications.
  • Demonstrated flexibility and initiative with a team-oriented mindset.
