Job Summary - The Convention Service Coordinator assists the Director of Sales & Marketing, Convention Services Managers, Catering Managers and Sales Managers, in obtaining customer satisfaction by performing clerical and administrativedutiesrelatingtoguestandhotelcommunicationsthroughthesalesteamaswellaslight selling duties to small groups and functions.
Education& Experience •Collegecourseworkinrelatedfieldhelpful. •Experienceinahotelorarelatedfield preferred. •HighSchooldiplomaorequivalentrequired. •Mustbeabletoconveyinformationandideas clearly. •Mustbeabletoevaluateandselectamongalternativecoursesofactionquicklyand accurately. •Mustworkwellinstressful,high-pressuresituations. •Mustmaintaincomposureandobjectivityunderpressure. •Mustbeeffectiveinhandlingproblemsintheworkplace,includinganticipating,preventing,identifyingand solving problems as necessary. •Musthavetheabilitytoassimilatecomplexinformation,data,etc.fromdisparatesourcesandconsider, adjust or modify to meet the constraints of the particular need. •Mustbeeffectiveatlisteningto,understanding,clarifyingandresolvingtheconcernsandissuesraised by coworkers and guests. •Mustbeabletoworkwithandunderstandfinancialinformationanddata,andbasicarithmetic functions. |

•Maintain regular attendance in compliance with the Odessa Marriott Hotel & Conference Center standards, as required by schedulingwhichwillvaryaccordingtotheneedsofthehotel.PossibleweekendsandHolidaysbased on business demands. •Maintainhighstandardsofpersonalappearanceandgrooming,whichincludecompliancewiththe Odessa Marriott Hotel & Conference Center dress code and wearing name tag when working (per brand standards). •Always complywithOdessa Marriott Hotel & Conference Centerstandardsandregulationstoencouragesafeandefficient hotel operations. •MaintainSalesfilesinanorganizedfashionandasperspecified standards. •andensuringallinquiriesaredealtwithaccurately,timely and in a professional manner. •Typesalescontracts,BEO’s,correspondence,reports,forms,directmailpieces,etc.,asneededbysales team. •Assists Group Housing Coordinator with room block details. •Respondtomeeting/cateringinquiries. •Distributeandcollectweekly group Resumes. •Maintainfilesystemtoensureofficeisorganizedandefficient. •MaintainCI/TY.ensuringconsistent,accurateandworkingproperly. •Assistmanagersoncreativeprojectsincludingproposals,invitations,specialevents, etc. •Maintaintimelyandeffectivepaperflowandcommunicationwithindepartmentandtootherdepartments. •WorkwithConventionServicesManager/Catering Manager, Sales Managers,detailingupcomingfunctionsasneeded,obtainguarantees, confirm arrangements, etc. •DistributeBEO’s,Changes,RoomingLists,SignedContracts,Revisions,etc.toappropriatedepartments as it relates to meeting and groups. •Assistguestsandclientswithsmallchanges,requests,etc.,andcompletesneededpaperworkfor Managers. •Siteinspectionsforthedepartmentasneeded. •Maintainconstantpaperflowofthankyoulettersforgroups/functionsanddistributesaccordinglyto departments and maintain in files. •Callclientsforguaranteednumbersforfunctions72hoursprior,creates/closeshouseaccountsand complete AV order. •Organizeinhousedeliveries,amenities,welcomeletters,transportationschedules,etc.asneeded. •OtheritemsastheyrelatetotheSalesandMarketingandConventionServices,aswellasanyother items as needed by entire management staff. •BefamiliarwithallOdessa Marriott Hotel & Conference Centersalespoliciesandhouserules. •EnsureAssociatesarealways,attentive,friendly,helpful,andcourteoustoallguests,managers,and fellow Associates. •Assist the sales team with anyotherdutiesas required. |
