Controls Service Administrator

Founded in 2019, Quantum Building Solutions has quickly become a leader in Building Automation and energy-saving solutions across DFW and beyond. Our incredible team of engineers, programmers, and solution providers is changing the way companies manage their buildings, and we're currently looking for a Controls Service Administrator to help support our growing service department.

Our Controls Service Department relies on strong organization and communication to keep projects and service calls running smoothly. This role is ideal for someone who enjoys coordinating schedules, managing details, and keeping operations organized in a fast-paced service environment.

What You'll Do

As a Controls Service Administrator, you will support the day-to-day operations of the Controls Service Department and assist the Service Manager with administrative coordination. Responsibilities include:

• Dispatching and coordinating service calls for the controls service team
• Answering incoming calls and assisting customers with service requests
• Ensuring technicians' timesheets are submitted daily
• Reviewing and confirming that service tickets and notes are properly documented
• Verifying that job and service information is entered accurately in the system
• Assisting the Service Manager with administrative tasks and department coordination
• Helping maintain smooth communication between technicians, management, and customers

Pay Scale: $20 - $25 per hour, depending on experience

Work Schedule: 8 am - 5 pm, Monday through Friday

Required Qualifications:

• High school diploma or equivalent
• At least 1 year of office or administrative experience
• Strong customer service and communication skills
• Dispatching experience in the service industry (HVAC, plumbing, electrical, etc) is preferred
• Strong organizational, multitasking, and time management skills
• Proficiency with computers and standard office software
• Typing speed of at least 40 WPM
• Experience with Service Titan is a plus
• High level of attention to detail and follow-through
• Professional and positive attitude
