Department Summary

UNT System Business Services and Procurement provides enterprise-wide leadership for purchasing, sourcing, and contracting operations across all institutions. The team is responsible for ensuring compliant, efficient procurement processes while advancing strategic sourcing, vendor management, and risk oversight. It also drives system-wide initiatives such as digital procurement platforms, third-party risk management, and policy modernization. The function is focused on improving operational efficiency, reducing risk, and delivering measurable financial and service value to the institution.

Position Overview

The Contracts Coordinator supports the administration, management, and monitoring of business and procurement contracts to ensure compliance with UNT System policies, state and federal laws, and best practices. This role facilitates the full contract lifecycle, including negotiation, approval routing, vendor coordination, and performance monitoring. The Coordinator contributes to process improvements and supports strategic goals for contracting functions across the institution. Work is performed under general supervision with moderate latitude for initiative and independent judgment.

Minimum Qualifications

Bachelor''s degree and three (3) years related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Knowledge of University, federal, and state contracting regulations and procedures.
  • Ability to interpret, analyze, and evaluate complex contract terms.
  • Skill in identifying problems and implementing effective solutions.
  • Ability to work independently and collaboratively within teams.
  • Proficiency in maintaining records using electronic contract management tools.
  • Strong analytical skills, attention to detail and ability to manage multiple priorities.
  • Discretion in handling confidential information.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.

Job Duties

  • Manage the full lifecycle of business and procurement contracts, including review, negotiation, execution, monitoring, renewals, amendments, closeouts, cancellations, and record maintenance in automated contract management systems.
  • Review, draft, and negotiate contract terms and conditions to ensure agreements are legally binding, aligned with organizational objectives, and compliant with applicable laws, state statutes, university policies, and procurement requirements.
  • Coordinate contract reviews and approval workflows with vendors, departments, stakeholders, legal counsel, and procurement personnel, ensuring all required approvals, revisions, signatures, and supporting documentation are obtained.
  • Maintain accurate contract records and monitor contract status, milestones, renewals, expirations, extensions, and performance obligations while providing timely notifications of required actions.
  • Serve as the primary point of contact for assigned contracts, assisting departments and Contract Liaisons with contract administration, negotiations, contractor performance monitoring, and resolution of contract-related issues.
  • Partner with the Office of General Counsel, Purchasing, and other internal stakeholders to administer business, service, and procurement contracts and ensure adherence to established policies, procedures, and governance requirements.
  • Conduct contract compliance reviews and audits, support state and regulatory reporting requirements, including Legislative Budget Board and SB20 reporting, and ensure compliance with HUB and other applicable initiatives.
  • Develop, maintain, and improve contract templates, processes, workflows, and internal procedures to enhance efficiency, consistency, compliance, and contract management effectiveness.
  • Prepare standard and ad hoc reports on contract status, performance, expenditures, and vendor utilization; provide training, guidance, and documentation to Contract Liaisons and department representatives; and support continuous improvement and other related duties as assigned.
