The Contracts Administrator is responsible for reviewing customer contracts, maintaining accurate records and customer data, and supporting daily activities within the Program Business team. This role requires strong communication skills and a solid working knowledge of Janicki Industries’ manufacturing processes, standard products, accounting procedures, and sales workflows.

The following essential job functions are performed as a Contracts Administrator:
- Act as the primary interface with the customer for contractual issues; perform contract execution activities, ensure proposal compliance, maintain document control, and coordinate with customers.
- Monitor contract and associated program to ensure that contractual obligations are communicated and understood.
- Participate in contract proposal preparation, contract negotiations, contract administration, and customer contract activities to manage assigned contracts in accordance with company policies, legal requirements, and customer specifications.
- Review terms and conditions to address provisions and risks of financial terms, acceptance criteria, delivery requirements, warranty, intellectual property, termination provisions, indemnification and all other potential risk areas and recommend risk mitigation strategies.
- Review incoming RFQs to identify submission requirements and highlight compliance obligations.
- Prepare and manage written communications with internal and external customers for assigned contractual matters.
- Ensure timely delivery of all contractual deliverables and submission of invoices.
- Understands Janicki Industries' business systems, procedures, and processes, ensuring seamless integration
- Self-motivated and detail-oriented, with strong organizational, written, and verbal communication skills
- Proficient in Microsoft Word, PowerPoint, Excel, SAP, and ECTR
- Thrives under pressure while meeting multiple deadlines efficiently
- Must have excellent communication skills, both verbal and written in the English language
- Being at work on time and maintaining good attendance is a condition of employment and is an essential function of the job
- Perform other duties as assigned
QUALIFICATIONS
This position may require the ability to obtain a U.S. Secret Security Clearance (U.S. Citizenship Required). Janicki will assist with gaining this access once employed. Special Access Program or other Government Access Requirements are mandatory for this position and requires candidate agreement to enter a Continuous Evaluation program.
Due to our ITAR and EAR regulations, applicants must be a US Citizen or of Legal Permanent Resident Status as defined by 8 U.S.C. 1324b (a) (3).
EDUCATION/EXPERIENCE
- Bachelor’s degree or equivalent industry experience is required
- 4+ years of experience in contracts administration, proposal/compliance, or business management within a manufacturing, engineering, or aerospace environment
- Knowledge of multiple contract types including Firmed Fixed Price (FFP), Time & Materials, Cost Plus Fixed Fee or Cost-Plus Award Fee
- Experience with FAR/DFARS requirements
- Active DOD Secret clearance required
- Experience in the aerospace industry
- Exposure to quality management standards (e.g., ISO 9001, AS9100) as they relate to document control and records
- Experience redlining and coordinating approvals with Legal/Management
- Prior ownership of proposal compliance checklists and submission portals
- Advanced skills building dashboards/trackers in Excel or Power BI for deadlines and deliverables
- Advanced proficiency in software programs, including Microsoft Office, SAP, SQL reporting, and other relevant business tools
- Exceptional verbal and written communication skills in English, with experience presenting to executives, managing customer relations, and negotiating contracts
Compensation:
- $95K-$120K
