Executive Administrative Support:

Seeking a high-performing, detail oriented administrative professional to support a wide range of administrative activities for a team of executives in a fast-paced, outcome-oriented transformation environment. Executive Assistant provides support and assistance to executives to optimize outcomes and improve crew and client outcomes. Drives a wide range of administrative and executive support functions and activities.

The qualified candidate s duties and responsibilities include:

" Represent the leader and division to internal and external stakeholders through in-person, virtual and written communications.
" Set and managing the calendars and daily schedules of leadership team, requiring deep relationship management and collaboration with other admins to schedule meetings.
" Manage and coordinating travel (ie booking trains, flights and hotels) and owning end-to-end expense management.
" Coordinate large cross-functional meetings and events across subdivisions, external vendors across time zones and geographies (including logistical and digital onsite support e.g., videoconferencing, in-office equipment etc.)
" Plan weekly staff meetings, quarterly offsites and quarterly town hall meetings. Send agendas via email, coordinate guests, and occasionally craft materials.
" Support crew member and contractor onboarding, and logistics management, including space planning
" Order and inventory department office supplies as needed. Monitors expenditures.
" Participates in special projects and performs other duties as assigned

Qualifications:
" High school diploma or an equivalent combination of training and experience; Associate degree preferred
" Three to five years administrative and / or corporate business experience
" Advanced proficiency in MS Office 365 and other forecasting, planning tools
" Self-started with a high degree of comfort with constant change and ambiguity and an ability to work effectively under tight deadlines
" Strong EQ, interpersonal and relationship management skills with a demonstrated ability to communicate across a variety of stakeholders (Senior Staff, Executive Leaders, External Vendors, Crew)
" Highly adaptive, team-first mindset and working style, with the ability to influence and collaborate across teams
