Position Overview

The Contract Administrator & Estimating Coordinator plays a vital role by merging contract management with estimating support to ensure smooth project execution and bid preparation. This hybrid role manages contract documentation and compliance while providing essential coordination for estimating activities, helping the organization maintain accuracy, efficiency, and regulatory adherence throughout project lifecycles.

Requirements

Key Responsibilities

  • Manage, review, and maintain contract documents, including subcontracts, change orders, amendments, and compliance documentation.
  • Ensure contracts comply with company policies and regulatory requirements.
  • Coordinate with project teams to support contract administration and resolve contractual issues.
  • Support estimating department by organizing bid files, managing estimating software platforms (e.g., HeavyBid), and preparing proposal documentation.
  • Track bid deadlines, maintain estimating calendars, and assist with the preparation and submission of proposals and bid bonds.
  • Maintain subcontractor and vendor databases and update annual bid sheets and templates.
  • Facilitate communication between project, estimating, and contracting teams to ensure consistent information flow and efficient processes.

Qualifications

  • Bachelor’s degree in Construction Management, Business, or related field preferred.
  • 5+ years of combined experience in contract administration and construction estimating coordination.
  • Proficiency with contract management and estimating software (e.g., HeavyBid, ERP systems).
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
