The Opportunity
The Contingent Workforce Specialist supports the operational delivery, coordination, reporting, and compliance of the organization’s contingent workforce program. This role helps ensure contingent workforce requests, vendor interactions, MSP processes, Preferred Supplier List (PSL) activity, onboarding, extensions, offboarding, compliance checks, and workforce reporting are managed accurately, efficiently, and in line with company policies.
Working closely with the Contingent Workforce Manager, MSP, suppliers, etc this role supports scalable workforce solutions that help the business respond effectively to peak demand, project-based work, specialized skill needs, and short-term capacity requirements.
What you will do?
- Support the day-to-day coordination of contingent workforce processes, including request intake, approvals, sourcing updates, onboarding, assignment changes, extensions, offboarding, invoicing and compliance tracking.
- Work closely with the MSP to monitor process execution, service levels, issue resolution, reporting, and stakeholder support.
- Support Preferred Supplier List (PSL), coordinating with the suppliers ensuring adherence to the process, tracking supplier usage, maintaining vendor records, and supporting vendor performance reviews.
- Assist with vendor performance tracking, including response times, candidate quality, fill rates, cycle times, compliance, issue resolution, and hiring manager feedback.
- Monitor contract / assignment end dates and coordinate timely extension, conversion, or offboarding actions.
- Prepare reports and dashboards on contingent workforce headcount, spend, tenure, upcoming end dates, supplier performance, cycle times, compliance status, and peak demand activity.
- Provide process guidance to hiring managers on contingent workforce and third-party agency (PSL) usage, including timelines, documentation and approval process.
- Support billing and invoicing, purchase order tracking, invoice query resolution, and spend data accuracy.
- Identify process delays, data quality issues, vendor concerns, compliance gaps, or stakeholder pain points and escalate them to the Contingent Workforce Manager.
- Help creating and maintaining process documentation, standard operating procedures, manager guides, supplier instructions, and communication materials.
- Contribute to continuous improvement efforts to simplify processes, strengthen governance, improve reporting, and enhance stakeholder experience.
Required Qualifications & Experience
- Experience in contingent workforce administration, MSP coordination and vendor management.
- Understanding of contingent workforce processes, supplier coordination, onboarding, assignment management, extensions, offboarding, and compliance tracking.
- Experience working with MSPs, setting up and managing a PSL, staffing agencies and vendor management systems.
- Strong organizational skills and attention to detail, with the ability to manage multiple requests, deadlines, stakeholders, and data points.
- Comfortable working with reports, spreadsheets, dashboards, workforce data, supplier metrics, and compliance trackers.
- Good communication and customer service skills, with the ability to guide hiring managers, suppliers, and internal stakeholders through defined processes.
- Ability to handle confidential information and follow governance, compliance, and documentation requirements accurately.
- Strong problem-solving skills and ability to identify process gaps, risks, delays, and improvement opportunities.
- Interest in vendor management, contingent labor, compliance, and scalable workforce solutions.
- Bachelor’s degree in Human Resources, Business Administration, Supply Chain, Procurement, Finance, or a related field.
- Relevant experience in contingent workforce, MSP coordination, vendor management, HR operations, procurement, or workforce operations may be considered in place of formal education.
Preferred Qualifications
- Training or certification in compliance, contract management, workforce planning, or vendor management systems is an advantage.
