Key Responsibilities

  • Verify that contracts are signed and archived before the event dates.
  • Record deposits made by guests including the signed receipt.
  • Update all BEO's including changes and inform them to the kitchen and banquet manager.
  • Ensure that engineering, housekeeping, PBX, or restaurant departments receive relevant BEO's to their areas.
  • Communicate with the client to confirm the guaranteed number of attendees for all functions 48-72 office hours before the event).
  • Make monthly report of lost business and cancellations.
  • Verify the daily activity sheet before its distribution.
  • Verify the future activities sheet before its distribution.
  • Organize and verify audio-visual units or any other external services.
  • Knowledge of reservation procedures (Room reservation, Room and hall booking).
  • Be aware of the forecast and budget.
  • Finalize the needs of food, drinks, and "set-up" Establish and maintain communication with the guest during all functions.
  • Establish communication with the executive chef and banquet manager, and team members.
  • Recommend and identify new ideas, methods, and/or markets.

Qualifications

  • Hospitality oriented.
  • Proven experience of at least 3 years in catering or food and beverage, preferably in a luxury hotel environment.
  • Excellent interpersonal and communication skills, with the ability to interact professionally with clients, suppliers, and hotel staff.
  • Must possess excellent written and oral communication skills, strong leadership skills, analytical and problem-solving abilities, good customer service skills, and ability to multitask.
  • Solid competencies in business planning, account management, and budgeting.
  • Must work well under pressure, even with minimal supervision.
  • Ability to handle the pressure of coordinating a wide range of activities simultaneously and recommend adequate solutions to clients' problems.
  • Completely bilingual (Spanish/English).
