POSITION SUMMARY:

The Community Engagement Specialist plays a vital role in supporting the Office of Community Engagement and External Affairs. This position is responsible for providing administrative support, organizing execution of community engagement events and serving as a liaison between the organization and various stakeholders, including faith leaders and government officials. This candidate will be a strategic thinker, a problem solver, an astute manager, and an accomplished multi-task professional who works well under deadlines. The candidate must work well independently and as a member of the corporate partnership and engagement team. Initiative, drive, creativity and excellent communication and organizational skills will be critical for success in this position. This is a crucial role in fostering positive relationships with the community and supporting the team in achieving their goals.

ESSENTIAL RESPONSIBILITIES / DUTIES:

General Functions
  • Provide advisory, operational and administrative support to the VP of Community Engagement and External Affairs; staying apprised of the work across Boston Medical Center with key stakeholders and ensuring Community Engagement involvement, as needed.
  • Partner with the VP of Community Engagement and External Affairs, the department SVP, and other key stakeholders in Marketing and Growth organization, providing day-to-day oversight of organizational, operational and administrative activities.
  • Lead event planning and execution including liaising with external partners/vendors and internal stakeholders cross-functionally, budget oversight, research, event planning and logistics, entertainment, and designing the look and feel as well as staffing of events.
  • Assist with development of other critical initiatives of the department on an as-needed basis.
  • Manage sponsorship budget, including tracking expenses, processing invoices, and preparing financial reports.
  • Assist in telling the BMC story through strategic PowerPoint presentations for meetings with internal and external stakeholders.

Primary Responsibilities
  • Serve as lead project manager on events and the primary liaison between venue, external vendors and internal teams, including communications and operations.
  • Serve as point person for research, logistics, planning, entertainment, and designing the look and feel of the events.
  • Assist in the development of event programs, agendas, and promotional materials.
  • Collaborate with internal and external stakeholders to ensure successful event execution.
  • Evaluate the success of events and identify areas for improvement for future initiatives.
  • Monitor event budgets, track expenses, and provide financial reports to the VP and finance department.
  • Manage sponsorship budget, including tracking expenses, processing invoices, and preparing financial reports.

Administrative Responsibilities
  • Maintain the calendar for the VP of Community Engagement and External Affairs, including scheduling appointments, meetings, and events.
  • Provide administrative support on behalf of the VP of Community Engagement and External Affairs, including managing email correspondence (composing/proofing), prioritizing tasks, and managing phone calls.
  • Assist with travel arrangements and accommodations for team members when necessary.

JOB REQUIREMENTS

EDUCATION:
  • Bachelor's degree in a related field (e.g., communications, public relations, event management) with at least 5 years relevant experience (preferred)

EXPERIENCE:
  • Previous experience in community engagement, event planning, or administrative roles is preferred.

KNOWLEDGE AND SKILLS:
  • Ability to effectively communicate and engage with people from diverse backgrounds are essential.
  • Deep and established connections with the community is a plus.
  • Familiarity with community engagement principles and practices is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Demonstrated ability to work effectively in a team environment and collaborate with diverse stakeholders.
  • Strong problem-solving skills and the ability to adapt to changing circumstances.
  • Knowledge of budget management and financial reporting is desirable.
  • Strong interpersonal skills and emotional intelligence.
