What You'll Do In This Role:
Be the welcoming face and trusted resource that brings the community together. As a Community Assistant, you’ll provide concierge-style service to residents, visitors, and staff by responding to questions, requests, and concerns with professionalism, warmth, and efficiency. You’ll help create a supportive, engaging environment while also managing key administrative and operational tasks that keep daily activities running smoothly. With a high level of discretion, strong communication skills, and the ability to connect with individuals of all backgrounds and abilities, you’ll play an essential role in delivering an exceptional community experience.
Key Responsibilities
Administrative
- Provide clerical and administrative support to various departments as needed.
- Serve as the central point of coordination and communication for the community, effectively acting as the “hub” of operations.
Billing and Financial Support
- Process billing and expense submissions through Concur in an accurate and timely manner.
- Manage and support PCC billing, including housekeeping-related charges and utilities.
- Coordinate billing tasks related to WorxHub, ensuring proper documentation and follow-through.
Customer and Prospect Relations
- Maintain, organize, and stock marketing and informational materials.
- Deliver exceptional customer service to all external and internal Cook Valley Estates guests and team members by answering questions and providing accurate information.
- Oversee and manage the reservation process for community rooms and guest rooms.
Mailing and Supplies
- Coordinate, distribute, and track internal mail, U.S. mail, and packages as needed.
- Monitor inventory levels and ensure office supplies are adequately stocked and ordered.
Customer Service & Community Support
- Address and resolve issues or complaints from visitors or team members promptly, professionally, and effectively.
- Provide detailed information regarding community services, policies, procedures, and events.
- Maintain awareness of the community calendar to answer questions and assist with scheduling activities and meetings.

Skills, Knowledge & Expertise
- Must have, as a minimum, 2 years of clerical/secretarial experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., phone systems, printers).
- Ability to learn and be proficient at several software programs, including Visual Touch and Cubigo
- Position requires the ability to lift and move objects weighing up to 35 pounds without assistance.
- Excellent organizational, interpersonal, and communication skills with a strong customer service mindset.
- Ability to effectively work with individuals of all age groups and varying cognitive levels.
