About the Role
Red Rock Collision Center is seeking a highly organized and motivated Administrative Coordinator to support the daily flow of our collision repair facility. This role plays a key part in keeping customer communication, repair orders, billing, insurance coordination, and shop workflow running smoothly from vehicle drop-off through completion.
This is a fast-paced position that requires strong communication skills, attention to detail, and the ability to manage multiple priorities. Automotive or collision industry experience is helpful but not required — we are willing to train the right person who is motivated, dependable, and organized.
Key Responsibilities
Customer Service & Communication
Answer incoming phone calls and assist customers professionally
Greet customers and check in vehicles at drop-off
Tag keys and manage vehicle intake/drop box process
Provide ongoing repair status updates to customers
Help coordinate scheduling for repairs and related services
Repair Order & Workflow Support
Create and maintain repair orders (ROs) and job jackets
Assist in scheduling jobs and supporting shop workflow updates
Track vehicles awaiting parts and help monitor ETAs
Assist with insurance supplements and estimate matching when needed
Support technician time tracking and basic administrative corrections when necessary
Insurance, Billing & Collections
Assist with insurance and fleet communication regarding payments
Follow up on outstanding balances and receivables
Collect customer payments at vehicle pickup and close out repair orders
Help maintain internal tracking of open invoices and accounts
Parts & Supply Coordination
Order parts through CollisionLink and vendor contacts (training provided)
Communicate with vendors regarding parts status and updates
Order shop and office supplies as needed
Assist with purchase orders when required
Administrative & Closing Duties
File completed job jackets and maintain organized records
Assist with month-end closing processes
Help coordinate outside services such as tint, bedliners, and sublet work
Ensure repair orders are properly tracked and closed out in a timely manner
Qualifications
Strong organizational skills and attention to detail
Comfortable working in a fast-paced, multitasking environment
Good communication and customer service skills
Basic computer skills (email, data entry, office systems)
Office, customer service, or automotive experience is helpful but not required
Experience with CCC One, insurance billing, or collision repair workflows is a plus, but training will be provided
Hours: Monday–Friday, 7:45 AM – 5:00 PM
Pay: $22–$26 per hour, depending on experience
