Title: CMMS Maintenance Planner
Salary Range: $75K - $95K
Status: Non-Exempt
Days/Shifts: 1st Shift, Monday- Friday with Saturdays as required

Reports to: Facilities/Maintenance Manager
GENERAL DISCRIPTION / PRIMARY PURPOSE:Under the direction of the Facilities and Maintenance Managers, the CMMS (Computerized Maintenance Management System) Maintenance Planner is responsible for managing and maintaining the facility’s CMMS to support maintenance, reliability, and asset management activities in a food processing environment. This role ensures accurate equipment data, work order management, preventive maintenance scheduling, and maintenance reporting to support operational uptime, food safety, and regulatory compliance. The CMMS Maintenance Planner works closely with maintenance and facilities technicians, engineering, production, sanitation, and quality teams to ensure the system supports efficient maintenance planning and execution.
MAJOR RESPONSIBILITIES AND TASKS / DUTIES OF THE POSITION: CMMS Administration- Maintain and administer the Facility/Maintenance CMMS database, including equipment assets, locations, spare parts, and maintenance records.
- Ensure data accuracy, consistency, and completeness within the system.
- Configure and maintain user access, workflows, and system parameters.
- Create and update equipment hierarchies, asset records, and bill of materials (BOM). Develop time and cost estimates of planned maintenance work.
Preventive Maintenance Management- Develop, schedule, and maintain preventive and predictive maintenance programs in the CMMS.
- Generate and track preventive maintenance work orders.
- Ensure PM completion and documentation for food safety and regulatory compliance.
- Continuously review PM effectiveness and recommend improvements.
Work Order Management- Create, assign, and track work orders in the CMMS.
- Ensure maintenance technicians/mechanics properly document labor, materials, and completion details
- Monitor backlog and assist maintenance leadership in prioritizing work
- Close out work orders with proper documentation
Asset & Spare Parts Management- Maintain equipment records, maintenance history, and technical documentation
- Manage spare parts data and inventory including descriptions, minimum/maximum stock levels, and vendor information
- Coordinate with maintenance and facility supervisors to ensure parts availability
- Coordinate with Purchasing to order/receive/track materials
- Create rebuild parts kits for equipment
Reporting & Analytics Generate maintenance KPIs and reports including:- Preventative Maintenance compliance and attainment
- Work order completion rates
- Tracking Employee Utilization
- Daily and Weekly Equipment downtime reports
- Maintenance backlog
- Support maintenance and reliability improvement initiatives using CMMS data
Compliance & Documentation Ensure maintenance records meet requirements for:- Food safety standards
- Regulatory audits
- Internal quality systems
- Maintain documentation related to equipment maintenance activities.
Continuous Improvement- Support reliability initiatives such as root cause analysis and asset criticality assessments.
- Identify opportunities to improve CMMS processes and maintenance efficiency.
- Train maintenance personnel on CMMS usage and best practices.
JOB SPECIFIC COMPETENCIES:- Literate in English and Spanish.
- Excellent communication skills; ability to effectively present information in one-on-one and small group situations to managers/supervisors and other employees of the organization.
- Ability to apply concepts of basic algebra and geometry.
- Provide Motor Vehicle Record (MVR) showing proof of clean driving record.
- Upon hire, employee must enroll in the DMV’s Employer Pull Notice.
- Proficient in the use of Microsoft Office (Word, Excel, PowerPoint).
- Proven knowledge of preventive and predictive maintenance practices.
PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, bend, kneel, crouch, or crawl; and talk or hear. The employee is frequently required to sit. The employee must frequently lift and/or move up to 50 pounds. WORK HOUR & TRAVEL REQUIREMENTS:- Monday – Friday with Saturdays as required, and overtime as needed.
EXPERIENCE AND EDUCATION:- High School Diploma or GED and two years’ experience in a comparable job, in a food manufacturing facility or the equivalent combination of experience and education. Some college coursework preferred
- Requires experience in maintenance planning and maintenance coordination.
- Experience in food processing, manufacturing, or industrial facilities required.
- Experience with CMMS software administration is required (CMMS platforms such as MP2, Fiix, eMaint, UpKeep, or other CMMS Software).
- Experience with CMMS database management which includes data entry and report generation is required.
- Data management experience to include budgeting, parts inventory, coordination with Purchasing, Production, Quality, Warehouse creating work orders and obtaining approval from management.
