Job Overview: 
The Club Administrator (Part-Time Weekends) assists in the facility operations to ensure; quality customer service is provided to the client, maintenance of facilities at a maximum level, responsible to oversee the lobby and coffee bar, overseeing of vendors for quality control and adherence to contracts, responsible to assist with the coordination and execution of lifestyle events, and reservations.
 
Compensation: $20.00 - $23.00 / hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
 
Job Responsibilities:  
  • Maintain high-level customer service and hospitality both internally and externally.
  • Represent professionalism and FirstService Residential standards of operations to clients and fellow staff at all times.
  • Take client calls and manage work order process, vendors, and client issues
  • Issuance of resident identification, verifying leases, access key fobs, resident registration, vehicle registration and ensure appropriate electronic files are kept.
  • Review and monitor community Policies and Guidelines.
  • Ensure homeowner inquiries regarding facility usage are handled in accordance with procedure.
  • Coordinate and attend as requested designated meetings and/or functions.
  • Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout.
  • Maintain an organized workspace according to company procedures.
  • Greet walk-ins.
  • Partners with Lifestyle Coordinator to create, manage and adhere to lifestyle events, including monthly progress updates.
  • Manages the collection of all deposits, forms and fees for facility rentals and miscellaneous payments.
  • Communicate with residents on the policies and guidelines pertaining to community room rentals, space and equipment.
  • Create and implement survey tools and processes to identify resident interest for community event activities and recreational programs
  • Manage the maintenance and cleanliness of rooms, furniture and equipment used for each venue; both pre- and post-events.

     levels of management, associates, members and other stakeholders.

  • Demonstrated organizational and time management skills with the ability to multi-task, implement, and monitor progress for successful completion. 
  • Ability to work well under pressure in a fast-paced environment meeting deadline.
  • Demonstrates attention to detail.
  • Demonstrates awareness of variables which could affect associate retention and/or morale.
  • Demonstrates excellent organizational and time management skills.
  • Excellent attendance and punctuality.
  • Working knowledge of Microsoft Office applications; including MS Word, Excel, PowerPoint, Outlook, Publisher. 
Education & Experience:  
  • High School degree required. College Degree preferred.  
  • Recreation and/or management experience preferred. 
  • Must have own reliable transportation

  • Must be able to lift 30 lbs.
  • Ability to lift, push and move equipment and furniture.
  • Must be able to sit and stand for extended periods of time.
  • Talking and listening occur continuously in the process of communicating with clients, guests, supervisors, associates, and vendors.
  • Must be able to communicate both on the phone and in person in order to resolve issues related to the business.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be mobile enough to move around the office and during outside events, including walking on uneven surfaces and standing for long periods of time.
  • Ability to work with inside and outside environmental elements (noise, weather, etc.).
  • Ability to work around pool equipment and chemicals.
 
Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.
 
Tools & Equipment Used:  
  • Must have a valid California driver’s license and State mandated vehicle insurance 
Travel:  
  • Frequent local travel within the designated community required.
  • On-site attendance for scheduled homeowner meetings, hearings, and community events.
