Client Overview:
Our client is a growing multi-site healthcare practice operating across New Jersey and New York, providing comprehensive clinical services and working closely with physicians, legal offices, vendors, and specialized care providers. The organization emphasizes operational excellence, strong provider support, and high-quality patient care across multiple locations. They are currently expanding their team and looking to bring on a Clinical Operations Manager.

Salary/Hourly Rate:
$100k - $120K DOE

Position Overview:
The highly organized and proactive Clinical Operations Managerwill serve as the central hub supporting physicians, clinical staff, office operations, and external partners. This role is critical in ensuring seamless coordination across scheduling, credentialing, HR, EMR systems, and clinical operations. The ideal candidate thrives in a fast-paced healthcare environment and can manage multiple priorities while maintaining exceptional attention to detail.

Responsibilities of the Clinical Operations Manager:
  • Clinical Physician & Office Liaison: Serve as primary point of contact for referring offices, Attorneys, and affiliated partners. Coordinate patient scheduling, referrals, and follow-ups. Manage communication for patient issues, no-shows, and care coordination. Handle medical records requests, treatment plans, and prior authorizations.
  • Provider Scheduling & Operations: Oversee provider schedules across NJ and NY locations. Adjust schedules based on demand and capacity. Coordinate office coverage, meetings, and training sessions. Manage scheduling templates and patient flow.
  • Executive Support: Support physician owner with calendar management and scheduling. Coordinate conferences, meetings, and travel logistics. Assist with licensing, credentialing, and administrative projects.
  • EMR / ECW Administration: Manage provider access, system setup, and troubleshooting. Support EMR workflows, pharmacy integration, and patient portal activity. Coordinate MIPS reporting and system updates.
  • New Office / Expansion Support: Assist with onboarding new locations and partnerships. Coordinate contracts, credentialing, and provider setup. Ensure operational readiness and staff integration.
  • Human Resources & Recruiting: Screen resumes, coordinate interviews, and manage offers. Support onboarding, payroll setup, and employee documentation. Handle PTO tracking, performance reviews, and employee relations.
  • Clinical Operations Support: Assist with compliance, supply coordination, and pharmacy communication. Support clinical workflow improvements and prior authorizations.
  • Medical Records & Legal Coordination: Manage narrative reports and medical records requests. Coordinate legal documentation, subpoenas, and depositions. Work with Attorneys and vendors on case-related documentation.
  • Vendor & Inventory Management: Manage vendor relationships and contracts. Oversee equipment maintenance and supply inventory. Process invoices and ensure operational continuity
  • General Operations: Coordinate internal communications, meetings, and documentation. Serve as escalation point for operational issues across departments.
  • Patient Escalation: Handle complex patient concerns and ensure timely resolution.
Required Experience/Skills for the Clinical Operations Manager:
  • 5+ years of experience in healthcare operations, medical office management, or similar role.
  • Strong organizational and multitasking skills.
  • Experience with EMR systems (ECW is preferred).
  • Excellent communication and problem-solving abilities.
  • Ability to manage cross-functional coordination across multiple locations.
  • Experience handling scheduling, referrals, and patient coordination.
Preferred Experience/Skills for the Clinical Operations Manager:
  • Experience supporting physician leadership or executive-level professionals.
  • Background in multi-site healthcare operations.
  • Familiarity with Workers' Compensation processes.
  • Experience with credentialing and compliance workflows.
  • Knowledge of HR processes and employee relations.
Education Requirements:
  • Bachelor's degree in Healthcare Administration, Business, or a related field is preferred.
  • Equivalent experience will be considered.
