About the Role


Medexa Medical Group is seeking an organized and proactive Clinical Operations & Administrative Coordinator to support daily clinic and business operations. This role helps coordinate patient care, administrative workflows, scheduling, billing support, and team communication while ensuring HIPAA compliance.


Key Responsibilities


Operations & Administration


  • Support daily office and clinic operations

  • Manage scheduling, emails, calls, records, and documentation

  • Coordinate workflows and internal communications

  • Assist leadership with reporting and staff coordination

Clinical Coordination


  • Schedule patient visits and provider assignments

  • Support patient intake and EMR/EHR documentation

  • Coordinate referrals, authorizations, medical records, and provider orders

  • Communicate with pharmacies, labs, imaging centers, and care teams

Billing & Compliance


  • Assist with CPT/ICD-10 coding and billing accuracy

  • Support charge capture and documentation compliance

  • Maintain HIPAA standards and audit readiness

Team Support


  • Facilitate communication between departments

  • Participate in staff meetings and workflow improvements

  • Assist with inventory tracking and supply coordination

Requirements / Qualifications 
  • High school diploma or equivalent required; associate or bachelor’s degree in healthcare 
  • administration, business, or related field preferred.  
  • Minimum 1–2 years of experience in a medical office, clinic operations, medical assistant, intake, 
  • scheduling, or patient care coordination role.  
  • Strong understanding of clinic workflow, patient intake, appointment scheduling, referrals, orders, 
  • medication refill coordination, and EMR/EHR documentation.  
  • Experience using EMR/EHR systems; DrChrono, NextGen, Wound Expert, or similar systems 
  • preferred.  
  • Basic knowledge of medical terminology, CPT/ICD-10 codes, billing support, and insurance 
  • documentation preferred.  
  • Strong communication skills to coordinate with providers, patients, pharmacies, labs, imaging 
  • centers, home health, hospice, and internal teams.  
  • Ability to manage emails, faxes, phone calls, records, trackers, reports, and daily operational follow-
  • ups.  
  • Proficient with Microsoft Office, Google Workspace, Teams/Zoom, email/calendar systems, and 
  • document management tools.  
  • Detail-oriented, organized, and able to multitask in a fast-paced healthcare environment.  
  • Must maintain HIPAA compliance and protect patient confidentiality at all times.
