Job Summary:
Greet, assist, and guide Clinic patients and communicate with the physician's office. Provide excellent customer service by promptly acknowledging each patient upon their arrival to the clinic. Quickly and efficiently address all of the patient needs in a friendly caring manner. Know and relay any information to the patient. e.g. wait time, special instructions etc.
Job Responsibilities:
Answers the specialty clinic phone while maintaining a polite, consistent phone manner. Return all specialty clinic phone calls/voicemails before the end of each shift.
Facilitates patient flow by notifying the physician's staff of patient arrival, being aware of delays, and communicating with patients and clinical staff.
Acquire all patient information required by the clinic physician e.g. insurance, photo id etc.
Schedule all physician patients efficiently and contact scheduling supervisor if any problems arise e.g. over-booking etc. Responsible for assisting physician and act in a MA capacity.
Ensure all patients are kept updated of changes in scheduled appointments when necessary.
Build good working relationships with specialty clinic physicians and staff members. Maintain a positive and professional attitude at all times.
Register new patients and update existing patient demographics by collecting detailed patient information including personal and financial information.
Provide patient access with physicians' orders collected in the specialty clinic.
Evaluate clinic inventory and replenish supplies as needed.
On a daily basis, perform general housekeeping duties e.g. wiping all surfaces, empty trash, cleaning of restrooms, vacuum and mopping clinic floors, straightening of chairs etc.
If needed provide coverage to scheduling when available (non-clinic days/times).
Ensure all equipment and appliances in the clinic are in good working condition for the clinic's operation to run smoothly, providing an environment that is conducive to patients.
Ensure items on the safety round checklist are being completed in the manner outlined on the checklist at all times.
Show initiative. Tasks are completed before the end of shift and aids in the preparation for the next day. Uses time wisely, does not allow for unimportant interruptions. Able to multi-task, prioritize work, and complete it in a timely manner.
Demonstrates knowledge of the specialty clinic and management line of authority and follows proper lines of communication. Shows good problem solving skills yet seeks guidance and direction from the scheduling supervisor when necessary.
Adhere to all hospital and scheduling department policies, procedures, rules and regulations, while meeting the requirements of the Code of Conduct and hospital compliance program.
