    Job Overview

    The University of Minnesota Health Clinics and Surgery Center (CSC) Clinic Coordinator team ensures that patients, their families and guests have an unparalleled excellent experience at the CSC. The Clinic Coordinator team is responsible for the professional and efficient operation of patient check-in and check-out process, as well as administrative and scheduling activities for clinic(s) in which they support. They actively use and embrace clinic and technological enhancements to support the scheduling and checkout process within clinic. The team works collaboratively with a large inter-professional team to best support both the needs of the patients and the needs of the clinic.

    Responsibilites:

    • Serve as a specialty-specific clinic resource for the CSC wing and floor in which you are assigned
    • Proactively identify opportunities for improvement and assist management with a minimum of 2 projects per

    year and as needed.

    • Take leadership with clinic partners and stay current with Joint Commission standards and regulatory standards

    to assist in regulatory readiness and clinic preparedness

    • Provide mentoring and guidance to Clinic Coordinators in their numerous job functions
    • Consistently collaborate with Concierge, Call Center, clinical teams, and leadership to foster good relationships

    between and within teams

    • Serves as a specialty-specific clinic resource and subject matter expert.
    • Assures pre-appointment management is complete. Manage pre-appointment activities such as arranging

    accommodations or scheduling interpreter services for patients visit.

    • Active practice management
    • Train new staff and assist in continuous learning for Clinic Coordinators.
    • Float to other clinics and help perform Clinic Coordinator duties as needed
    • Attends and actively participates in clinic huddles on a daily basis
    • Demonstrates excellent communication consistently both written and oral
    • Utilizes strong customer service skills and promotes the organizational philosophy of patient centered care to

    proactively meet the needs of all patients and their families during their clinic visits and/or other interactions.

    • Maintains awareness of multiple competing situations needing attention and prioritizes to assure patient/guest

    needs are met, while maintain a pleasant, friendly demeanor.

    • Completes, guides, and teaches check-in workflows and determines when additional support is needed.
    • Accurately coordinates and schedules future appointments and/or procedures following patient visit with

    provider.

    • Resolves non-clinical patient issues, provides backup and coverage as needed.
    • Demonstrates audible, friendly, professional and well-mannered speaking voice.
    • Supports business needs of the clinic by completing administrative tasks needed for team to complete their work
    • Monitor provider schedules, clinic waitlist, recalls, workques and reschedules.
    • Register and schedule referrals for new patients as necessary.

    Required:

    • Two years of post-high school education or related healthcare specialty experience or office management education/ training
    • 1 year in Clinic Coordinator/Concierge role with 6 of those months being in a Senior Clinic Coordinator position performing all responsibilities and expectations proficiently and

    with minimum oversight

    Preferred:

    • A.A./A.S. in healthcare or business related area
    • 1 year in the Senior Clinic Coordinator role performing all responsibilities and expectations proficiently and with minimum oversight
    • 1 year Previous leadership experience.
