The Role

 

We are looking for a Client Services Associate to join our team and work directly alongside the firm's owner and our senior Client Relationship & Operations Manager. You'll be a core part of a three-person team building something that lasts.

 

This is a support role, not a front-desk role. Our focus is on giving the senior team the leverage they need to serve clients well and grow the firm thoughtfully. You'll own the wealth management operations, client onboarding support, and financial advisory administrative rhythms that keep a high-trust practice running — and help us raise the bar as our clients' expectations rise with us.

 

Light reception duties exist today but are a small part of the role, and we expect to continue reducing them through technology and better processes. Over time, this role evolves into broader client relationship and operations responsibility as the firm grows and our senior team member eventually transitions toward retirement. The right person here has real long-term runway.

 

We use modern tools — Salesforce, AI-assisted workflows, integrated compliance systems — and we're always looking to improve. If you spot a way to automate something, simplify a workflow, or elevate the client experience, we want to hear it and implement it. Good ideas make everyone's job better and free us all up to do more meaningful work.

 

What You'll Own

 

Supporting the Advisor and Client Relationship & Operations Manager

  • Prepare and assemble client meeting materials: agendas, suitability forms, client information sheets, meeting notes, referral forms
  • Coordinate appointment preparation, confirmation, and follow-up
  • Manage 30-day new client retention reviews
  • Handle follow-through on client action items after meetings
  • Assist with invoice submissions, compliance, and documentation
  • Take overflow paperwork off the senior team so they can focus on clients

Elevating the Client Experience

  • Be a warm, professional presence — the first face clients and prospects see
  • Welcome clients with best-in-class hospitality: greet them, seat them, offer beverages
  • Help ensure every client touchpoint reflects the caliber of firm we are becoming
  • Manage client card mailings and milestone touchpoints
  • Help coordinate client events throughout the year
  • Contribute ideas for how we can surprise and delight clients as we serve more complex relationships

Office & Operations

  • Meticulous management of CRM and systems tracking
  • General office organization, filing, and outgoing mail
  • Maintain a tidy lobby and conference room
  • Support the broader operational rhythms of a small, efficient practice

Growth & Evolution

  • Learn our business deeply
  • Bring forward ideas for automation, process improvement, and elevated client experience
  • Take on expanded client relationship and operations responsibility as you grow into the role

Who You Are

  • 2+ years of administrative, client service, or operations experience in financial services, wealth management, insurance, law, accounting, or professional services environments
  • Organized and meticulous — our work has to be right the first time, especially as our clients grow more sophisticated
  • Strong time management and customer service skills
  • Comfortable with technology and genuinely interested in using it to work smarter — CRM (Salesforce preferred), Microsoft Office, and a willingness to learn AI-assisted tools
  • Warm and professional — you instinctively raise the bar on how clients feel when they interact with us
  • Discreet — comfortable handling confidential financial information
  • Proactive — when there's slack in the day, you use it to get ahead, refine a process, or help a teammate
  • High moral and ethical standards with a deep drive to help others

Requirements

  • Pass a background check and credit check
  • Become registered with the broker dealer the firm utilizes to service clients and accounts
  • Foundational experience with Salesforce, Excel, Word, Outlook, and other Office Suite software

Compensation & Schedule

  • Competitive base salary of $58,000–$72,000, commensurate with experience
  • Full-time, in-office: Monday–Thursday 8:30am–4:30pm, Friday 8:30am–2:00pm
  • Medical, dental, and vision available immediately
  • 401(k) available after 90-day trial period
  • Clear path for expanded responsibility as the firm grows
