Essential Functions


Client Relations & Communication


  • The Frontline Experience: Warmly greet arriving clients, manage the lobby environment, and guide pet parents through the check-in and rooming process.

  • Multicultural Engagement: Serve as an linguistic bridge for our diverse clientele, ensuring medical recommendations, surgical packages, and treatment plans are perfectly understood in both languages.

  • Inbound Management: Master a high volume of client communications via phone, text, and email using our integrated software suite, ensuring a polished, stress-free touchpoint for every caller.

Financial & Practice Growth


  • Financial Transparency: Confidently present medical plans, review surgical fees, and handle payment processing with empathy and professionalism.

  • Value-Driven Advocacy: Educate clients on available wellness plans, ongoing clinic promotions, and the immediate benefits of utilizing our in-house or online pharmacy over alternatives.

  • Continuity of Care: Successfully coordinate checkout procedures and secure forward-booked appointments before the client departs to ensure consistent patient care.

Administration & Workflow Optimization


  • Smart Scheduling: Optimize the appointment calendar to maintain an efficient, steady clinical pace throughout the day.

  • Digital Records: Maintain accurate, organized, and real-time electronic medical charts and client correspondence within our practice management system.

  • Workspace Standards: Manage prescription intake orders, accurately route documents, and maintain a highly organized, pristine reception area.

Qualifications


  • Experience: 1+ years of experience in veterinary reception, medical front-desk coordination, hospitality, or high-end retail customer service.

  • Language: Complete verbal, reading, and writing fluency in both English and Spanish is required.

  • Professional Drive: A self-motivated professional who thrives on operational excellence, shows great attention to detail, and naturally anticipates the needs of the room.

  • Resilience: Proven ability to maintain a poised, positive, and reassuring demeanor during peak volumes and fast-paced scenarios.

  • Technical Aptitude: Comfort navigating modern digital phone systems, practice management platforms, and cloud-based applications.
