Summary:
The Client Service Associate II is responsible for high-quality customer service and communication to private clients, Investment Consultants, custodians, and money managers. The Client Service Associate II acts as a dedicated liaison between custodians and clients, building trusted relationships and delivering exceptional service. This role assumes responsibility for supporting the firm's Investment Consultants in account administration, operational tasks, client servicing, internal projects, and client-related projects. The Client Service Associate II works on the clients' behalf towards achieving their investment goals, supporting our mission of helping clients prosper.
Responsibilities:
- Own and lead the end-to-end onboarding process for new clients, ensuring accuracy, efficiency, and seamless client experience from initial documentation to account activation
- Open new brokerage accounts with precision and completeness, confidently handling a wide range of client types, including individual, joint, retirement, trust, incorporated, and non-incorporated accounts—without requiring supervision.
- Execute and facilitate complex money movements (wires, ACHs, journals, DTC, ACAT, and non-ACAT transfers) with a high degree of accuracy and reliability, consistently operating with limited oversight.
- Maintain organization of client records and documents in the firm’s CRM and document management system
- Follow internal policies and procedures accurately as it relates to money movement verification, CRM documentation, client tasks, and compliance requests
- Demonstrate advanced problem-solving and critical thinking skills, proactively navigating operational tasks and client service projects with confidence and minimal guidance.
- Communicate proactively and consistently with clients and colleagues, providing timely updates and maintaining transparency throughout all stages of service delivery.
- Independently complete subscription documents for Private Equity and Hedge Fund investments, proactively managing ongoing maintenance for capital calls and related requests
- Engage directly with external asset managers to facilitate initial account setup and ensure smooth ongoing account maintenance, operating autonomously and effectively.
- Collaborate cross-functionally with initiative, understanding departmental roles and proactively aligning efforts to support firm-wide and client-related objectives.
- Support senior leadership and client-facing teams (Director of Client Services, Investment Consultants, and Private Clients) with ad-hoc projects, contributing value with minimal direction.
- Assist in training new Client Service Associates, sharing expertise and best practices to accelerate team readiness and performance.
Education, Professional & Technical Experience:
- Bachelor’s Degree required with a preferred concentration in Business or related
- One (1) to three (3) Years of Financial Industry Experience
- Proficiency in Microsoft Suite and Adobe
- Previous CRM experience
- Previous custodial portal experience, particularly Charles Schwab and/or Fidelity, is a plus
- Understands full operational requirements and compliance considerations involved of various money movements transactions
- Understands the structure and purpose of various brokerage account types and client types
- Demonstrates working knowledge of core brokerage processes such as RMDs, 401(k) rollovers, etc
- Working knowledge of different types of securities such as stocks, mutual funds and bonds
- Working knowledge of asset managers
- Working knowledge of alternative investment vehicles [Private Equity and Hedge Funds]

Work Environment & Travel Requirements:
- This role may travel up to 5% of the time for training and or business/events.
- This role offers a hybrid work model with three days in one of our professional office environments and two days remotely.

The base salary range for this position is $60,000-$81,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
