The Client Intake Specialist is responsible for gathering, organizing, and documenting critical client and case information, ensuring attorneys are equipped with complete and accurate details to efficiently evaluate potential matters. We’re looking for a Client Intake Specialist to serve as the gateway to our firm’s client experience and play a key role in supporting case acquisition.

Blending client experience, structured intake, and operational precision, this role ensures every prospective client is heard, guided, and supported throughout the intake process. The Client Intake Specialist is responsible for gathering, organizing, and documenting critical client and case information, ensuring attorneys are equipped with complete and accurate details to efficiently evaluate potential matters.

What You'll Do

• Answer calls, emails, and online inquiries from prospective clients
• Conduct intake conversations and collect key case information
• Enter and manage data in our CRM system
• Track leads and follow up to keep cases moving forward
• Collect and organize client documents
• Facilitate communication between prospective clients, attorneys, and internal teams
• Partner with Marketing to support lead flow optimization, tracking, and conversion efforts
• Deliver a professional, empathetic, and responsive client experience

Our Ideal Candidate

• Strong communication skills and professional phone presence
• Ability to build rapport and handle sensitive conversations
• Highly organized with strong attention to detail and accuracy
• Comfortable multitasking in a fast-paced environment
• Deliver a professional, empathetic, and responsive client experience
• Experience in customer service, intake, call center, or legal support preferred
• CRM experience (like HubSpot) is a plus
