About the Role
We are seeking a Senior Staff Support specialist to provide essential clerical and administrative backing to management and senior administrative teams within the New York City School Construction Authority.
The ideal candidate will be a detail-oriented professional capable of managing the procurement lifecycle for furniture and equipment across a variety of city-wide projects. This role is perfect for someone who excels at tracking moving parts, maintaining accurate records, and keeping complex projects on schedule.
Key Responsibilities
Purchasing & Requisitions: Enter and process purchase requisitions for furniture and equipment, ensuring every order aligns with specific project requirements and budgets.
Procurement Tracking: Monitor the entire lifecycle of requisitions to ensure purchase orders are issued on time; proactively follow up on any delays.
Reporting & Visibility: Maintain and update detailed status reports to provide management with clear visibility into order progress and outstanding actions.
Stakeholder Coordination: Serve as a point of contact for school administrators, project officers, and external vendors to facilitate smooth processing and resolve delivery issues.
Workflow Support: Monitor order activity to identify discrepancies and escalate issues to the appropriate channels before they impact project timelines.
Required Qualifications
Experience: At least two (2) years of full-time experience in clerical work, accounting, reproduction, or administrative support.
Education: High school diploma or its educational equivalent.
Communication: Strong ability to communicate clearly with diverse teams and external vendors.
Organization: Exceptional tracking skills and the ability to manage high volumes of data with accuracy.
