Job Description:
POSITION: Executive Assistant to the Superintendent
SCHOOL: District Office
RESPONSIBILITIES:
- Manage the daily operations of the Superintendent's Office and serve as the primary point of contact for staff, families, and the New Fairfield community
- Coordinate the Superintendent's calendar, meetings, appointments, travel, and special events
- Prepare correspondence, reports, presentations, agendas, meeting materials, minutes, and communications on behalf of the Superintendent and Board of Education
- Provide administrative support to the Board of Education, including meeting preparation, agenda development, electronic records management, and policy administration
- Coordinate Board meeting logistics, postings, notices, agendas, minutes, and official records in accordance with applicable laws and regulations
- Support the development, revision, publication, and maintenance of Board of Education policies and governance documents
- Maintain confidential files, records, and correspondence related to legal, labor relations, student, personnel, and Board matters
- Coordinate responses to Freedom of Information Act (FOIA) requests and records requests under the direction of the Superintendent
- Serve as a professional representative of the Superintendent's Office and respond to inquiries from staff, families, community members, government agencies, and other stakeholders
- Coordinate special projects, district initiatives, and executive-level administrative activities as assigned by the Superintendent
- Utilize technology platforms and digital tools to improve communication, organization, workflow, and operational effectiveness
- Develop presentations, reports, spreadsheets, and communication materials using Google Workspace, Microsoft Office, Board management software, AI tools, and other technology systems
- Perform other duties as assigned by the Superintendent
QUALIFICATIONS:
- Bachelor's degree required
- Minimum of five (5) years of administrative support experience, preferably in education, government, municipal, legal, or executive office settings
- Demonstrated proficiency with Google Workspace, Microsoft Office, and other technology platforms
- Experience utilizing artificial intelligence (AI) and emerging technologies to improve productivity, research, document development, and workflow efficiency
- Outstanding verbal, written, interpersonal, and proofreading skills
- Strong organizational, project management, and problem-solving skills with exceptional attention to detail
- Ability to manage multiple priorities and deadlines while maintaining accuracy and professionalism
- Demonstrated ability to exercise independent judgment and maintain strict confidentiality
- Experience preparing agendas, meeting materials, minutes, reports, and presentations
SALARY: Commensurate with experience and qualifications
