Job Description:

Qualifications

  • Preferred Bachelor's degree in Business Administration, Accounting, or a related field.
  • Two (2) years of prior related school district experience.
  • Knowledge of office practices and procedures.
  • Demonstrated experience in accounting, finance, bookkeeping, or related business office functions required.
  • Prior office management or administrative leadership experience preferred.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with Excel and Google Sheets, and the ability to learn district financial software.
  • Ability to work independently, maintain accuracy, and manage confidential information with discretion.
  • Experience in a school district or public-sector setting is preferred.

Essential Duties and Responsibilities

Assistant to the Business Manager-Related Functions

  • Support the Business Manager with financial, accounting, and administrative functions.
  • Track expenditures, reconcile records, and support finance-related reporting.
  • Assist with audit preparation and bank account reconciliation.
  • Assist the Business Manager with state reporting and data collection for state and federal reports.
  • Assist with closing the books at year-end.
  • Oversee financial system training of support staff.
  • Assist with budget monitoring, account coding, and basic bookkeeping support.
  • Help prepare reports, spreadsheets, and summaries for administrative review.
  • Coordinate special projects assigned by the Business Manager, Superintendent's Office, or other administrators.

Office Manager / Central Office Functions

  • Oversee and manage daily central office operations to ensure efficiency and organization.
  • Serve as a primary point of contact for visitors, staff, families, vendors, and community members.
  • Maintain office calendars, schedules, correspondence, filing systems, and records.
  • Coordinate office workflow, supplies, equipment, and vendor communications for Central Office.
  • Assist with Central Office staff timekeeping and employee-related administrative processes as directed.
  • Maintain confidentiality in handling sensitive student, staff, personnel, and financial information.
  • Support meetings, agendas, and other central office administrative needs.
  • Perform other related duties as assigned by the Business Manager or Superintendent's Office.
  • Oversee the calendar of school facilities used by community groups, excluding athletic use.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Answer the Business Manager's phone line, taking messages, and directing calls to the appropriate department or staff member.
  • Preparing meeting materials, agendas, packets, sign-in sheets, and follow-up items.
  • Organizing and maintaining electronic and paper filing systems.
  • Supporting coverage, absence tracking, and timecard review for Central Office staff.
  • Maintaining office inventory and ordering supplies, equipment, and materials.
  • Assist with backup coverage for other central office staff as needed.

Additional Duties

  • This position reports directly to the Business Manager and works closely with central office administrators and staff.

Terms of Employment

  • This is a full-time, 12-month, non-affiliated position located in the Watertown Public Schools Central Office. Regular in-office attendance is required.
  • Salary will be commensurate with experience.

Work Schedule

  • Monday - Friday, 8:00am-4:00pm
