Position Summary

Perform a wide variety of responsible and complex administrative duties supporting the Office of Civil Right-Consumer Protection. Provide administrative support to the development of policies and procedures for outreach, education, discrimination and consumer complaints, referrals, and enforcement activities where appropriate. Participate in the implementation the City's consumer and financial protection strategic plan.

Essential and Supplemental Functions

SSENTIAL FUNCTIONS: Essential functions may include, but are not limited to thefunctions listed below. Must be able to perform the essential functions of thejob with or without a reasonable accommodation.

  • Attend Human Rights Board meetings as requested and provide support to the OCR-CP Manager.
  • Process and document civil rights and consumer protection complaints; conduct initial assessment to determine jurisdiction and appropriate handling pathway.
  • Refer complainants to appropriate community resources and partner agencies based on complaint type, providing clear guidance on next steps and available support services.
  • Screen incoming complaints to identify which require formal investigation versus alternative resolution paths, applying established criteria and protocols.
  • Maintain comprehensive tracking database of all civil rights and consumer protection complaints, including status updates, resolution outcomes, and referral information.
  • Generate monthly trend analysis reports identifying patterns in complaint types, resolution timeframes, and geographic distribution to inform program improvements.
  • Compile statistical data for both civil rights and consumer protection divisions to support grant reporting requirements and public information requests.
  • Type and proofread a wide variety of reports, letters, memoranda and documents; type from rough draft or verbal instruction; may independently compose correspondence related to assigned responsibilities.
  • Coordinate multiple calendars of activities, meetings and various events within the Office of Civil Rights-Consumer Protection; coordinate activities with other departments, divisions, the public and outside agencies.
  • Screen office and telephone calls; provide front desk assistance, including providing information, respond to and resolve complaints and requests for information on City regulations, procedures, and systems.
  • Maintain detailed and accurate accounting records for the Office of Civil Rights-Consumer Protection; Assist in the creation and submission of reports as required.
  • Maintain inventory of supplies; obtain estimates for ordering purposes; order supplies as needed; ensure compliance of policies and procedures.
  • Maintain filing, records and rosters; develop, implement and modify filing systems.
  • Provide support to Office of Civil Rights-Consumer Protection for research, outreach, training, and other support functions as needed.

SUPPLEMENTAL FUNCTIONS:

  • Operate a variety of office equipment including copiers, facsimile machine and computer.
  • Coordinate meals or refreshments for a variety of meetings.
  • Conduct research related to assigned area of responsibility.
  • Perform related duties and responsibilities as required.

Minimum Education, Experience And Additional Requirements

Related education and experience may be interchangeable on a year for year basis.

Associates degree from an accredited college or university in business or a related field or a two (2) year technical certificate in office administration; and

Three (3) years of office administrative support experience.

ADDITIONAL REQUIREMENTS:

Possession of a valid New Mexico Drivers License or the ability to obtain by date of hire.

Possession of a City Operators Permit (COP) within six (6) months from date of hire.

Essential and supplemental functions may require maintaining physical condition necessary for sitting for prolonged periods of time; extensive use of computer keyboard; moderate lifting.
