JOB SUMMARY
Provide assistance to the Office Administrator by performing record keeping duties and contributing to the Juvenile Office intake procedures. Perform a wide range of Court related tasks and general clerical support of the Juvenile Office operation. Work is performed under the direct supervision of the Administrative Supervisor and is reviewed through conferences, observations and the results obtained from work efforts.
ESSENTIAL JOB FUNCTIONS
- At the direction of the Director of Legal Services, shall prepare petitions to terminate parental rights, proposed orders of termination, neglect petitions, delinquency petitions, motions to modify previous orders of disposition and certifications.
- At the direction of the Director of Legal Services, shall prepare interrogatory answers and other discovered matters. Shall prepare witness subpoenas and ensure that the subpoenas are served in a timely manner and that the witnesses are notified to appear at Court if the cause is continued.
- At the direction of the Director of Legal Services, shall prepare and insure the service of petitions for writ of Habeas Corpus and accompanying order.
- Enters Juvenile Office cases, along with their dispositions, into the appropriate computer system for filing and tracking purposes.
- Conducts background/records checks via the REJIS System.
- Records and updates hearing dates for Legal Services Division and prepares Court docket for Legal Services Division.
- Performs record keeping duties related to all monies received and disbursed through the Juvenile Office to include the Detention Center. Prepares and forwards First and Second Informal Adjustment Fee Letters to parents/guardians.
- Maintains records and financial reports for grant-funded projects, prepares vouchers for reimbursement from the State of Missouri for childcare days at detention facility, residential facilities and in-home detention program.
- Schedules appointments in support of the Juvenile Office intake procedures. Prepares requests for discharge, social summaries, court updates, various intake-related correspondence and other documents when requested by deputy juvenile officers.
- Provides assistance to the File Clerk/Secretary by initiating case files for new cases, by retrieving files when reports/referrals are received and in the filing of active and closed files, as needed.
- Provides assistance to Deputy Juvenile Officers by preparing schedules for probation checks and assists Deputy Juvenile Officers in the performance of probation checks.
- Provides the Division of Family Services and Juvenile Office satellite offices informed of current court dates. Accesses and inputs information via REJIS and Elite.
- Performs other related duties as assigned.

QUALIFICATIONS
- Knowledge of general office practices and procedures.
- Knowledge of manual and automated office equipment with knowledge of computer applications. Ability to operate commonly used manual and automated office equipment. Ability to use and trouble shoot various computer and standard office equipment.
- Knowledge of composition, grammar, spelling and punctuation; skill in typing accurately, alphanumeric sequencing, data processing, and file maintenance.
- Ability to create and maintain files and records.
- Ability to organize and coordinate work-related activities in an effective and efficient manner.
- Ability to effectively comply with written instructions and procedures.
- Ability to communicate clearly and effectively both orally and in writing.
- Ability to establish and maintain effective working relationships with other employees.
EDUCATION AND EXPERIENCE
- High School diploma or equivalent;
- One (1) year of professional secretarial or related experience.
- Or equivalent combination of education and experience.

PHYSICAL DEMANDS
The work is light and requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires mental and visual acuity, speaking, balancing, climbing, crawling, crouching, feeling; picking, pinching, typing, or otherwise working primarily with fingers rather than with the whole hand; grasping; picking, holding or otherwise working with the whole hand; hearing, kneeling, pulling, pushing, reaching, repetitive motion, standing, stooping, talking, and walking.
WORK ENVIRONMENT
The work is performed indoors in an office environment with low to moderate noise level. This position involves interaction with other employees and the general public. Many situations may require early morning and late evening hours.
