Overview The Case Manager for Special Education is responsible for the oversight of special education compliance and the stabilization of funding risks within the Tri Star program. This role primarily focuses on rigorous data reconciliation, audit readiness, and schedule validation. By ensuring that coding and instructional minutes are accurately documented and reported, this position fulfills our mission of empowering families and unleashing student potential through fiscal and regulatory integrity.
Essential Duties
Execute regular TISA funding reconciliations to ensure accurate state reporting and that the program receives appropriate weighted funding based on student needs.
Lead comprehensive SPED and EL coding audits to verify that all student records remain in total alignment with Tennessee Department of Education (TDOE) mandates.
Conduct 390-minute schedule validations to confirm that virtual instructional time meets state standards and matches the service delivery documented in EasyIEP.
Manage the SWORD/EIS reconciliation process to maintain 100% data consistency between internal management systems and the state’s Education Information System.
Oversee the development and maintenance of Individualized Education Programs (IEPs), ensuring all documentation is "audit-ready" for state monitoring visits.
Maintain precise student records to mitigate risk and ensure seamless transitions during state funding audits.
Proactively pivot to support emerging business needs and strategic priorities as directed by your manager to ensure the collective success of the Tri Star program.

Knowledge, Skills & Attributes
A minimum of 3-5 years of experience in special education compliance, data management, or a related school administrative role, preferably in a remote environment.
Proven experience working independently with minimal supervision, including the ability to manage a digital task list and maintain a stable remote (home-office) infrastructure.
Minimum of 1–2 years of experience using the Google Workspace suite (Docs, Sheets, Slides, Drive) in a professional or academic setting.
Demonstrated ability to communicate complex ideas via written channels (Email, Google Chat, and Document Comments) with high clarity and low ambiguity.
Access to a private, secure, high-speed internet connection with a minimum of 25 Mbps download and 10 Mbps upload speeds.
Deep understanding of TDOE special education regulations and TISA funding categories.
Exceptional ability to reconcile complex data sets and identify discrepancies in funding or coding.
Proficient in Tennessee software such as EasyIEP and EIS.
Ability to travel to Manchester, Tennessee regularly.
Education & Certification Requirements
Bachelor’s degree in Special Education or a related field.
Valid Tennessee Special Education Professional Teaching License.
