SUMMARY
This position is responsible for providing direct oversight of office location operations and for ensuring their assigned office location functions effectively. Working collaboratively with the Clinical Supervisor, this position is responsible for managing expenses, employee productivity, coordinating payroll, and onboarding and the management of the timely and effective staffing of all programs and service lines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assigns and schedules Outpatient Therapists maximizing the available hours in conjunction with the planned needs of the client.
- Monitors productivity and utilization of assigned hours, making adjustments when necessary, including the reassignment of hours among other Outpatient Therapists in order to maximize utilization and provide maximum service coverage when appropriate.
- Maintains a consumer waitlist, assigning as needed.
- Monitors work performed by staff to ensure that work is performed in accordance with company policies and procedures, program regulations, and expected standards for client care.
- Processes paperwork required in enrolling a client in Outpatient Therapy services.
- Completes and maintains accurate files for case management for each consumer.
- Provides accurate and complete information on the outpatient therapy and medication management process to clients/families receiving services.
- Maintains a tracking system which lists client med appointments or yearly paperwork information.
- Sets up all new consumer profiles, verify insurance when applicable.
- Monitor and actively work the consumer balances of the assigned locations.
- Maintains, or oversees, all consumer communication regarding appointments, med refill requests, medical requests, etc.
- Assists in gathering information as required for corporate compliance and audits including Relias and training management.
- Completes payroll for all assigned employees on a biweekly basis in conjunction with capacity and productivity reporting.
- Manages draft list and following all guidelines for staff completion of services.
- Manages all faxes and mail received and all tasks related to the documents.
- Responsible for collecting all HR documents that are needed by shared services and giving notices of deadlines.
- Manages all trackers related to compliance of the program including, but not limited to, discharges, med management, IT, HR, capacity, productivity, etc.
- Consistent communication with supervisors and attend all required meetings.
- Onboarding of all newly hired staff including documents, admin training, technology set up, etc.
- Performs related work as required.

REQUIRED EDUCATION AND/OR EXPERIENCE

PREFERRED EDUCATION AND EXPERIENCE
- At least 1 year experience supporting a similarly sized office, and/or at least 1 year of experience in a customer service position
CERTIFICATES, LICENSES, REGISTRATIONS
QUALIFICATIONS
Ability to read, analyze, and interpret complex documents and instructions. Ability to respond effectively to sensitive inquiries or complaints. Ability to clearly explain instructions in both written and oral media.
Basic mathematic ability including addition, subtraction, multiplication, and division. Use of MS Excel to aid in mathematical work.
Ability to read instructional bulletins and/or participate in training sessions then translate information provided into day-to-day work duties.Must be able to make sound decisions to support employees and consumers in a calm and timely manner.Must be able to interact with employees, outside agencies, external sources, and internal departments on a daily basis in a way that supports the company’s mission and enhances the delivery and quality of services
