Job Summary:
Senior Helpers of West Oahu is seeking a highly organized and dependable Scheduling Coordinator to manage caregiver schedules and ensure seamless delivery of in-home care services to our clients. This role is critical to maintaining continuity of care, supporting our caregivers, and ensuring clients receive reliable, high-quality service. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and has strong communication and problem-solving skills.

Key Responsibilities:

  • Coordinate and maintain daily and weekly schedules for caregivers and clients

  • Match caregivers with clients based on care needs, availability, and compatibility

  • Communicate schedule changes, updates, and shift coverage with caregivers in a timely manner

  • Monitor open shifts and proactively fill them to ensure uninterrupted care

  • Respond to caregiver call-outs and arrange backup coverage

  • Maintain accurate scheduling records and client care hours in the company’s scheduling system

  • Communicate with clients and families regarding schedule updates when necessary

  • Support onboarding of new caregivers by coordinating initial schedules and introductions

  • Work closely with the care management team to ensure client care plans are properly staffed

  • Assist with administrative tasks and reporting as needed

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred

  • Previous scheduling, administrative, or office coordination experience preferred

  • Experience in home care, healthcare, or staffing environments is a plus

  • Strong organizational and time management skills

  • Excellent verbal and written communication skills

  • Ability to multitask and remain calm in a fast-paced environment

  • Proficiency with scheduling software and Microsoft Office (Word, Excel, Outlook)

  • Strong problem-solving and decision-making abilities

  • Professional, dependable, and customer-service oriented

Physical Requirements:

  • Ability to sit and work at a computer for extended periods

  • Occasional lifting of office supplies up to 20 lbs
