  • Serves as the front-line Care Access partner for a designated group of USA Health clinics and practices.
    This includes leadership and accountability for all pre-service and arrival functions of clinic workflows.
  • Is accountable for, and will be seen as the front office leader, driving and supporting the pre-service and arrival workflow processes for our patients and care teams
  • Updates the staff on the number of phone room pool messages and number of faxes needing attention.
  • Updates to staff on Teams regarding who is in triage for the am and pm session and attending provider.
  • Once a month meeting with APP Supervisor to go over the APP clinic coverage and ensure the closure of PTO request, hospital coverage and other clinic coverage they may require a template to be changed.
  • Attend monthly staff meeting with Care Access team and conduct individual one on one meeting with each employee.
  • Responsible for assigning providers for rescheduling needs to Care Access asst.
  • Responsible for all clinics DPCs being signed off on daily and scanned into the appropriate file folder for accounting to view.
  • Responsible for going over QGenda monthly and compare clinic opening and closing to Cerner, making changes where needed.
  • Acts as a liaison between Care Access functions and the rest of the departmental workflows.
  • Serves as a collaborative partner within clinical operations, and works with all the appropriate clinical department leadership to ensure workflows and processes are running as designed.
  • Direct leadership and management responsibility, with coordination of the Care Access Director, of not only the pre-service and patient arrival/experience functions, but direct leadership of the staff supporting those functions.
  • Communicates effectively and takes action to ensure that Care Access employees fully understand their roles, responsibilities and performance standards/expectations and provides ongoing feedback and support.
  • Ensures proper staffing based on volumes, and flexes staff accordingly, in collaboration with other Care Access Supervisors.
  • Serves as a back-up staff member to support functions, as needed, if staffing is an issue.
  • Collaborates and supports the overall Care Access strategies and goals to help drive and influence transformational change in all areas of care access.
  • Oversees scheduling and pre-service and arrival workflows, including; centralized scheduling, registration, insurance eligibility/verification, time of service collections (TOS), referral coordination, patient check-in/out, and all first point of communication and care of the patient in the USA Health system
  • Supervises staff to include assigning duties, checking work, approving time off, approving time sheets, ensuring proper staffing, participating in performance evaluation process, and assisting with disciplinary issues
  • Works with appropriate department leaders as necessary to ensure patient access measures are met and clinical workflows are seamless and working as designed
  • Assists in ensuring that the USA Ambulatory Practice Standards and Care Access expectations are followed consistently within every department of USA

  • Maintains knowledge of access data, and utilizes to make operational decisions based on data
  • Facilitates training for Care Access staff, and helps educate departmental leaders as necessary on any Care Access functions or processes
  • Utilizes a variety of computer programs to include Microsoft Office and other applications associated with Care Access
  • Completes all mandatory department, educational and hospital requirements
  • Adheres to current Infection Control and Safety Standards
  • Regular and prompt attendance
  • Ability to work schedule as defined and overtime as required

  • Additional Information: Employees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits. Qualifications:
  • High School Diploma or equivalent and 7 years related experience, three of which were in a supervisory capacity Required
  • Experience in a healthcare setting to include driving pre-service and patient arrival and discharge workflows Preferred
  • Electronic Medical Record and revenue cycle front-end experience with working knowledge of insurance and payer mixes within the region and experience within a large hospital or integrated healthcare delivery system Preferred
  • Comparable combination of education and experience may substitute for the above requirements.
