Are you a research-driven professional who enjoys uncovering opportunities and building structured pipelines? This role is ideal for someone who thrives behind the scenes, identifying high-value Request for Proposal (RFP) opportunities and equipping internal teams with the insights needed to win business.
This is not a traditional sales position. Instead, your impact will come from sourcing, qualifying, and organizing opportunities early — ensuring teams have the clarity and lead time needed to submit competitive proposals.
Key Responsibilities
RFP Sourcing & Monitoring
- Monitor government, corporate, association, and industry procurement channels to identify relevant RFPs
- Qualify opportunities aligned with production, staging, and event technology capabilities
- Capture deadlines, scope requirements, and eligibility criteria with accuracy
- Maintain a structured pipeline of active, upcoming, and historical opportunities
Data Management & Reporting
- Build and manage a prospect and opportunity database using CRM tools (e.g., HubSpot, Zoho, Salesforce)
- Organize RFP data including client type, scope, budget indicators, and timelines
- Provide concise summaries to support go/no-go decisions
- Track outcomes and identify trends to improve proposal strategy
Research & Market Intelligence
- Research corporations, associations, government agencies, and nonprofits to identify recurring RFP issuers
- Develop proactive outreach lists based on procurement patterns
- Monitor industry trends, event calendars, and market activity to anticipate opportunities
- Provide background insights to strengthen proposal positioning
Process & Workflow Optimization
- Improve systems for tracking RFP sources, deadlines, and follow-ups
- Leverage AI tools to streamline research, summarization, and data entry
- Ensure smooth hand offs to internal teams
Requirements
Qualifications — Required
- 6+ years of relevant experience
- Bachelor’s degree
- Proficiency in Microsoft Office or Google Workspace (especially Excel/Sheets)
- Strong internet research skills and experience navigating procurement portals
- Excellent organizational and time management skills
- Clear and concise written communication
- Ability to work independently and manage priorities
Qualifications — Preferred
- Experience with CRM platforms (HubSpot, Zoho, Salesforce, or similar)
- Familiarity with procurement systems (e.g., SAM.gov, state/local portals)
- Experience with data tools (pivot tables, formulas, basic dashboards)
- Working knowledge of AI tools (e.g., ChatGPT, Claude, Perplexity)
- Interest or background in event production, AV technology, or live events
